Job Description

Role Summary

Sr Business Associate – HR is a hands-on HR role responsible for supporting end-to-end HR operations and employee relations for assigned programs and clients. The role serves as the primary HR point of contact for associates and delivery teams, ensuring compliance with Malaysia labour laws, timely HR operations, and effective people support. The role requires the ability to work independently on routine matters with guidance/escalation for complex cases.

Key Responsibilities

  • Act as the first point of contact for associates for HR-related queries and support.
  • Manage key stages of the employee lifecycle, including onboarding, confirmation, transfers, exits, and offboarding.
  • Support employee movements and documentation in line with internal policies and Malaysia labour requirements.
  • Coordinate closely with internal teams to ensure payroll, contracts, and time-sensitive HR matters are closed within TAT.
  • Handle employee relations cases, including counselling, minor disciplinary actions, investigations support, and grievance handling.
  • Support preparation of documentation for show-cause letters, warnings, and disciplinary proceedings.
  • Participate in disciplinary meetings, investigations, and exit discussions, escalating complex cases to Geo/Regional HR as required.
  • Maintain confidentiality and professionalism in all ER matters.
  • Ensure adherence to Malaysia labour laws, employment practices, and statutory requirements.
  • Support HR compliance activities, audits, and reviews by preparing required artefacts and documentation.
  • Maintain accurate HR records, trackers, and documentation for audit readiness.Support implementation of HR policies, SOPs, and process updates at site and client locations.
  • Support local payroll coordination, including validation of inputs, attendance, and exceptions.
  • Handle employee queries related to payroll, statutory contributions, and benefits.
  • Liaise with payroll and benefits vendors for issue resolution and routine follow-ups.
  • Escalate discrepancies or policy-related matters to Geo HR/C&B teams.
  • Support and execute associate engagement initiatives, wellness activities, and HR communications.
  • Conduct HR inductions, refresher sessions, and policy awareness programs for associates.
  • Roll out surveys (engagement, pulse, feedback), consolidate data, and support reporting.
  • Actively engage with operations, training, and quality teams to address people-related challenges.
  • Maintain HR dashboards, attrition data, headcount trackers, and compliance reports.
  • Provide HR data and reports to stakeholders on a timely basis.
  • Support cross-functional HR projects and regional initiatives as assigned.
  • Recommend operational and process improvements based on day-to-day HR interactions.
  • Work independently on routine HR activities with minimal supervision.
  • Support HR activities at office and client locations, including flexibility to extend support beyond standard working hours when business needs arise.
  • Coordinate effectively with Recruitment, Payroll, Finance, Immigration, Legal, and Operations teams.
  • Maintain high standards of confidentiality, accuracy, and professionalism.

Qualifications & Experience

  • Bachelor's degree in Human Resources or Management.
  • 3+ years of relevant HR experience, preferably in Business HR / Geo HR / BPS environment.
  • Working knowledge of Malaysia labour laws and statutory requirements.
  • Hands-on experience in employee relations, HR operations, and compliance support.
  • Strong communication, coordination, and stakeholder management skills.
  • Proficient in MS Excel, Word, and PowerPoint.
