The Responsibilities
- Parts operations (day to day business), Logistics coordination, discrepancy claims, insurance operation, exchange parts operation and any other operations as required.
- ATKKT management and operations Overall/Central.
- Parts accessories supply System, SOP & operations.
- Monitor and update all Parts KPI and meet all VPCM/VRAS/VWAG reporting requirements.
- Collect and maintain all relevant parts data for business for business analysis and development purpose.
These include:
1. Parts Logistics Operations, Technical & ETKA
- Oversee all parts logistic operations ordering, invoicing, delivery, etc.
- Manage hub stock inventory and stock take.
- Manage marine insurance and other required insurance with relevant departments in logistics and customs clearance matters when needed.
- Ensure all documentation and processes are in accordance to the Company and audit requirements.
2. Parts Discrepancy Claims Management and Operations
- Develop, maintain and improve the Parts Discrepancy Claim Forms (PDCF) operations and process to ensure timely claims processing in accordance to VRAS and company guidelines.
- Track all PDCF and timely processing of credit/debit notes from VRAS and to dealers.
- Ensure all documentation and processes are in accordance to the Company and Audit requirements.
3. Insurance Management and Claims Operations
- Process all relevant claims to insurance company in timely manner and in accordance to insurance requirements.
- Monthly declaration to insurance company for premium calculations.
- Liaise wish Logistics Department for annual insurance renewal process.
4. Parts Reporting VPCM, VRAS and VWAG
- Ensure all reporting are submitted in timely manner as per requirement by VPCM, VRAS and VWAG including internal management reporting.
- Ensure data accuracy in all reports and to brief the relevant management personnel before submission of reports.
5. Operation Support
- Support in parts information management and pricing if needed.
- Manage monthly provisions for related areas e.g PDCF, Exchange Pars, logistics, duties, and any other provision related costs/revenue.
- Process all documents e.g invoices and CN as per requirements.
What We're Looking For
- Degree in Business Administration or an equivalent combination of education and/or experience.
- Experience in daily parts operations, logistics and systems will be an added advantage.
- Proactive, detailed oriented, results driven and able to work independently.
- Excellent communication skills across all levels of organization.
