Job Description

Job Purpose

Coordinate and execute course scheduling and academic support resources, ensuring efficient timetable planning, optimal resource utilisation, and smooth delivery of academic activities in alignment with institutional requirements.

Key Accountabilities:

Teaching & Learning (T&L) Course Scheduling

  • Timetable Development & Coordination: Develop, coordinate, and maintain course scheduling, ensuring optimal allocation of classrooms, facilities, and resources.
  • Scheduling Optimisation & Conflict Resolution: Identify and resolve timetable clashes, accommodate special cases (e.g., probation students, mobility programmes), and ensure minimal disruption to academic delivery.
  • Stakeholder Engagement: Liaise with academic departments and relevant units to gather requirements, validate schedules, and ensure alignment with academic needs.
  • Monitoring & Updates: Continuously monitor timetable execution and student attendance (MyTimetable App), manage changes, and ensure accurate and up-to-date scheduling information is communicated.

Invited Lecturer and Tutor Planning & Execution

  • Resource Planning & Coordination: Coordinate the appointment and scheduling of invited lecturers and tutors based on course requirements and academic needs.
  • Administrative Support: Facilitate documentation, onboarding processes, and coordination with relevant units (e.g., HR, Finance) for engagement and payment processing.
  • Monitoring & Reporting: Track utilisation and performance, ensuring alignment with approved plans and institutional guidelines.

Teaching Assistant (TA) Assignment

  • TA Planning & Allocation: Coordinate the assignment of Teaching Assistants (TAs) to courses based on workload (applicable to courses with tutorial/lab session), course needs, and academic departments requirements.
  • Coordination with Stakeholders: Liaise with academic departments and relevant department to confirm TA requirements, roles, and responsibilities.
  • Administration & Tracking: Maintain records of TA assignments, monitor workload distribution, and ensure proper documentation.
  • Support & Continuous Improvement: Address issues related to TA deployment and recommend improvements to enhance efficiency and effectiveness of TA support.

Qualification & Experience:

  • Recognised Bachelor's or Master's degree in Computer Science, Information Technology, Computer Engineering, Electronics Engineering, or in relevant field.
  • More than 3 years of experience in relevant field.
  • Professional qualification and advanced degree would be an added advantage.
