The Senior HR & Admin Executive is responsible for providing comprehensive support in all HR and administrative functions. This role ensures smooth HR operations, compliance with company policies, and efficient day-to-day office management. The ideal candidate is detail-oriented, organized, and able to handle multiple priorities in a fast-paced environment.
Your role at HFM:
Human Resources:
- Maintain and update employee records, HR databases, and personnel files.
- Act as the primary liaison and manage the relationship with our third-party payroll service provider.
- Support payroll preparation by providing relevant employee data (absences, leaves, overtime, etc.).
- Administer attendance and leave management systems.
- Handle employee queries regarding HR policies, benefits, and procedures.
- Resolve employee issues and disciplinary actions when required.
- Ensure compliance with labor laws, workplace safety, company policies, compensation & benefits and all regulatory requirements.
- Ensure the efficient use of HR technologies for managing employee records, payroll, and benefits.
- Foster a high-performance culture by encouraging continuous feedback and improvement.
- Manage all immigration and mobility matters for our expatriate employees throughout our third-party.
- Assist in recruitment and onboarding.
- Coordinate employee engagement activities, training programs, and performance appraisals.
Administration:
- Manage office supplies, facilities, and vendor coordination.
- Handle correspondence, documentation, and filing (physical and digital).
- Support travel arrangements, meeting logistics, and event coordination.
- Maintain confidentiality of sensitive information.
- Assist management with reports, data analysis, and administrative projects as required.
Requirements
- Bachelor's degree in Human Resources, Business Administration, or related field.
- 5+ years of experience in HR and/or administrative roles.
- Strong understanding of HR practices and labor regulations.
- Excellent organizational, time management, and communication skills.
- Proficiency in MS Office (Excel, Word, PowerPoint) and HRIS systems.
- Ability to handle sensitive information with integrity and confidentiality.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience with HR software and systems (e.g., HRIS, ATS).
