Job Description

Luxury Careers Malaysia is looking for a highly talented, mature Senior / Human Resources Executive to run full-cycle payroll operations for Malaysia and Singapore, and full-cycle HR operations for Malaysia, in support of our clients payroll and manpower outsourcing demands. The role also provides HR operations support and contract management for our Singapore entity, and owns invoicing for our Malaysia sales, Malaysia year-end statutory income tax reporting, and the overall part-timer program.

Job Responsibilities:

  • Run the full payroll cycle for Malaysia and Singapore — validating inputs (attendance, overtime, allowances, claims, deductions, new hires and leavers), processing calculations, and preparing payslips, bank disbursement files, and payroll reports — so every cycle is accurate and paid on time.
  • Manage statutory contributions and submissions for both jurisdictions, meeting each country's separate deadlines: EPF (KWSP), SOCSO (PERKESO), EIS, PCB and HRDC for Malaysia, and CPF, IRAS and SDL for Singapore.
  • Handle Malaysia year-end statutory income tax reporting — Form E, Form EA and CP8D, plus CP21/CP22 for joiners and leavers — filing accurately and on time with LHDN.
  • Own full-cycle HR operations for Malaysia, from onboarding to offboarding, with particular focus on contractors, part-timers, and the internal Luxury Careers Malaysia team — covering contracts, HR records, leave and attendance, benefits, statutory compliance, and day-to-day employee queries.
  • Provide HR operations support and contract management for Singapore, including preparing and renewing employment contracts, maintaining documentation, and coordinating with the Singapore team in line with MOM and Employment Act requirements.
  • Run the overall part-timer program end to end, covering onboarding, timesheet and overtime tracking, payroll, and offboarding of part-time and temporary staff.
  • Act as a point of contact for client and internal requests on payroll and HR matters, advising on statutory obligations and managing expectations and timelines professionally.
  • Continuously improve payroll and HR processes, and identify and build AI and HR-tech automation (such as timesheet/overtime management, employee self-service, and automated employee data entry) to raise accuracy, efficiency, and service quality.

Key Competencies:

  • 3+ years of solid payroll and HR experience, ideally in a payroll outsourcing, manpower outsourcing, or professional-services setting.
  • Strong understanding of full-cycle payroll and HR processes and their statutory deadlines for both Malaysia and Singapore.
  • Working knowledge of Malaysia labour guidelines and Singapore MOM requirements — Employment Act, EPF, SOCSO, EIS, PCB and HRDC (Malaysia) and CPF and IRAS (Singapore) — sufficient to manage compliance, timelines, and client requests.
  • Assertive, organized, and detail-oriented, able to manage multiple deadlines, timelines, and client requests in a fast-paced environment without missing statutory cut-offs.
  • Clear, professional communication and the ability to manage client and stakeholder expectations.
  • Comfortable with a recognized payroll system (e.g. Info-Tech, SQL Payroll, or equivalent) and strong Microsoft Excel skills.
