About the Role
The Senior HR Executive is responsible for overseeing day-to-day HR operations and office administration to ensure smooth people operations and efficient office management. This role supports the full employee lifecycle, ensures compliance with company policies and local labor laws, and maintains a professional and well-organized office environment. The position works closely with Management, HR, and Finance teams in a fast-paced business setting.
Job Responsibilities:-
- Human Resources Operations
- Manage end-to-end employee lifecycle processes, including onboarding, confirmation, contract renewals, transfers, and offboarding
- Prepare and manage employment contracts, addendums, HR letters, and employee documentation
- Maintain accurate employee records, HR systems, and personnel file
- Track probation periods, confirmations, and employee status changes
- Support and execute regional HR operations, ensuring streamlined and standardized operational procedures
Recruitment & Onboarding Support
- Support recruitment activities, including interview coordination, offer preparation, and onboarding arrangement
- Coordinate with hiring managers, Talent Acquisition, and candidates to ensure smooth and timely hiring processes
- Assist in manpower planning and recruitment tracking and reporting
Employee Relations & Performance Support
- Act as the first point of contact for employee HR and office-related queries
- Support performance review cycles, KPI tracking, and related documentation
- Assist in handling employee relations matters, including disciplinary actions and grievances, in accordance with company policies and procedures
Payroll, Benefits & Compliance
- Coordinate monthly payroll processing with Global Operation Team.
- Administer employee benefits, leave management, insurance, and statutory contributions
- Ensure compliance with local labor laws, employment regulations, and internal HR policies
Office Administration & Facilities Management
- Oversee daily office operations, including facilities management and vendor coordination
- Manage office supplies, pantry, equipment, and service contract
- Coordinate office relocations, seating arrangements, and workspace planning.
- Support office budget tracking and cost control initiatives
Internal Coordination & HR Projects
- Implement and communicate HR policies, SOPs, and internal guidelines
- Support employee engagement initiatives and internal communications
- Assist in HR audits and continuous process improvement initiatives
Job Requirements:-
- Bachelor's degree in Human Resources Management, Business Administration, Psychology, or related fields.
- Minimum 35 years of progressive HR experience.
- Experience in Forex, Fintech, or financial services is highly preferred.
- Strong knowledge of Malaysia labor laws, HR compliance, and HR best practices.
- Proven ability to manage both recruitment and daily HR operations independently.
- Excellent communication, leadership, and interpersonal skills.
- Proficient in MS Office, HRIS platforms, and collaboration tools (Slack, Google Workspace, Trello, etc.).
- Strong problem-solving and decision-making skills.
- Ability to work effectively in a dynamic, multicultural, and fast-paced environment.
- High level of integrity, professionalism, and confidentiality.
Preferred Qualifications (MUST Have)
- Proficiency in MANDARIN language.
- Experience supporting expatriates or working closely with regional/global HR counterparts.
- Knowledge of sales incentive structures, commission schemes, or performance-based compensation.
- Familiarity with Forex/CFD trading operations, compliance requirements, or financial services workflows.
