Job Description

Job Title: Regional HR Senior Specialist

Location: Kuala Lumpur (Mercu 2 Office)

Engagement Type: Full – Time Employment

Job Summary

We are looking for a hands-on Regional HR Senior Specialist (HR Generalist) based in Kuala Lumpur to support HR operations across APAC and selected overseas entities.

The role is approximately 50% HRIS/HRMS and HR operations and 50% HR Generalist, covering employee lifecycle management, employee relations, performance management, HR compliance, HR systems, reporting, process improvement, and regional HR initiatives.

This is an individual contributor role suited to someone who is comfortable managing day-to-day HR matters independently while working closely with employees, managers, regional HR teams, Finance, IT, and external service providers.

HR Generalist

  • Manage employee lifecycle activities including onboarding, probation confirmation, transfers, promotions, employee changes, and offboarding.
  • Provide guidance to employees and managers on HR policies, procedures, and general employment matters.
  • Support employee relations matters including performance concerns, attendance, grievances, disciplinary matters, and workplace issues.
  • Support performance management activities including performance reviews, performance improvement plans, and follow-up actions.
  • Support employee engagement, HR communications, and other people-related initiatives.
  • Ensure HR documentation and practices are aligned with company policies and applicable employment requirements.

HRIS / HRMS & HR Operations

  • Manage day-to-day HRIS/HRMS administration and maintain accurate employee data and records.
  • Act as a key user for HR systems and coordinate system-related issues with internal teams and service providers.
  • Support HR system enhancements, testing, implementation, and user support.
  • Maintain and improve HR processes, SOPs, workflows, and system documentation.
  • Review operational processes and identify opportunities to improve efficiency and data accuracy.
  • Prepare regular HR reports including headcount, employee movements, attrition, and other workforce data.

Regional HR Support

  • Support HR operations for APAC and assigned regional entities.
  • Coordinate with local HR teams and stakeholders on employee lifecycle, HR policies, compliance, and operational matters.
  • Support standardisation and improvement of HR processes across the region.
  • Coordinate regional HR projects, data collection, documentation, and implementation activities.
  • Follow up on assigned regional HR actions and ensure timely completion.

HR Compliance & Governance

  • Support compliance with local employment legislation, statutory requirements, and internal HR policies.
  • Maintain appropriate employee records and HR documentation for audit and compliance purposes.
  • Support internal and external HR audits where required.
  • Assist with reviewing and updating HR policies, procedures, and employee guidelines.

Stakeholder Coordination

  • Work closely with HR, Finance, IT, business teams, and external service providers to support smooth HR operations.
  • Coordinate with payroll specialists on employee changes and information required for payroll processing where necessary.
  • Escalate sensitive, complex, or high-risk HR matters to the Regional HR & Admin Manager where appropriate.
  • Support other regional HR initiatives and projects as assigned.

Key Responsibilities

  • Diploma or Bachelor's degree in Human Resources, Business Administration, or a related discipline.
  • Approximately 5–7 years of HR Generalist, HR Operations, or HR Shared Services experience.
  • Hands-on experience with HRIS/HRMS systems and employee data management.
  • Experience in employee lifecycle management, employee relations, performance management, HR compliance, and HR administration.
  • Good understanding of Malaysian and Singapore employment practices and statutory requirements.
  • Prior experience in regional HR operations or supporting multiple APAC entities would be an advantage.Good communication and stakeholder management skills.
  • Strong attention to detail and comfortable working with HR data and systems.
  • Able to work independently in a fast-paced and multicultural environment.

Preferred Experience

  • Experience within a multinational, technology, IT services, outsourcing, or shared services environment.
  • Exposure to HR operations across Southeast Asia.
  • Experience in HR system implementation, enhancement, testing, process improvement, or HR digitalisation projects would be advantageous.
