Job Descriptions
- Prepare and issue purchase orders based on purchase requisitions and ensure the timely follow-up with vendors for expected delivery dates (ETD).
- Sourcing and negotiate for the most competitive price in terms of quality, price, payment terms, deliveries and services with vendors
- Track and monitor the ETD of purchase orders to ensure timely delivery to meet target ETD requirements
- Handle order discrepancies, returns, and resolve any issues related to product quality or delivery.
- Maintain accurate records in the system, including stock items, supplier pricing, and supplier details.
- Ensure that all procurement data is up-to-date, accurate, and compliant with company standards
- Prepare daily purchasing reports, providing accurate and timely data on orders, deliveries, and any discrepancies.
- Follow up with vendors on ETD for Returned Merchandise Authorizations (RMAs) and require vendor provide the root cause and correction action.
- Collaborate with others departments such as finance, production, and warehouse teams to understand and anticipate purchasing needs.
- Participate in supplier audits to assess and ensure that suppliers meet the company's quality, compliance, and performance standards
- Continuously develop and improve the procurement processes to enhance efficiency, reduce costs, and ensure high-quality products.
- Adhere to all company procurement procedures, policies, and compliance regulations to ensure consistency and transparency in purchasing activities.
- Undertake other duties and responsibilities as assigned by the company, ensuring on-time completion and full closure of tasks.
Additional Responsibilities
- Ability to work independently.
- Provide guidance and mentoring to procurement executive as necessary to support their development.
- Take on more complex procurement tasks and vendor negotiations.
- Analyze purchasing data to identify cost-saving opportunities and improve procurement strategies.
Job Requirements
General requirements for all:
- Bachelor's Degree in Business, Supply Chain Management, Engineering or a related field
- At least 5 year(s) of working experience in purchasing/inventory/material management in automation or related field is required for this position.
- Computer literate with knowledge in Microsoft Office application
- Strong negotiation and communication skills
- Ability to work under pressure and extra hours, including weekend, if required
- Positive working attitude and able to communicate to all levels.
