  • Estimate time and effort accurately across project types; ensure estimates are grounded in what the studio can realistically deliver.
  • Maintain accurate, up-to-date project tracking across all active briefs, ensuring the wider team always has clear visibility of what is in progress, what is pending, and what is at risk.

  • Build trusted working relationships with market-side stakeholders, ensuring they feel well-serviced, heard, and genuinely confident in the studio's ability to deliver, particularly through the early stages of the engagement.

Brief Quality & Production Delivery

  • Own end-to-end delivery for all assigned projects, from brief intake through creative development, amends, approvals, and final asset dispatch with no gaps in oversight.
  • Set and enforce a high bar for brief quality before work enters production; if a brief is incomplete, or under-scoped, push back constructively and resolve it before the studio team picks it up.
  • Translate market briefs into clear studio briefs that give Studio designers everything they need to start work without returning for clarification.
  • Track all active projects simultaneously, maintaining live visibility of status, priorities, and potential bottlenecks always, and surfacing risks before they become delivery problems.
  • Coordinate workload distribution across the studio team in alignment with the Studio Lead, flagging capacity constraints early enough for the team to respond without disruption.

Cross-Market Coordination & Resource Management

  • Assigning the right creatives (digital, print, 3D designs) to tasks based on designer capacity and right skill sets.
  • Act as the operational bridge between the Australia account teams and the Malaysia studio, ensuring that context, nuance, and direction are never lost in the translation between brief origination and production execution.
  • Identify friction points at the market-studio interface and take ownership of resolving them through better process, clearer communication protocols, or escalation where needed.
  • Manage delivery across time zones with enough structure and forward planning that Australia briefs can progress smoothly.

  • Office hours from 8am-5pm with occasional flexibility required to support global stakeholders across time zones.

Required Experience & Skills

  • 7 to 10 years of professional project management experience within a creative agency, content production studio, or integrated marketing environment, with a strong track record managing high-volume accounts in a client-facing capacity.
  • Demonstrable experience managing international or multi-market accounts, with the ability to coordinate delivery across different markets, time zones, and stakeholder groups simultaneously.
  • Experience managing senior client relationships directly, including escalation situations. This is not a supporting role, and the candidate must be able to hold the room independently.
  • Background in retail, beauty, personal care, or consumer brand accounts is a strong advantage; category familiarity will accelerate your understanding of the client's priorities and ways of working.
  • Strong brief management skills: able to assess brief quality critically, identify gaps before they cause production problems, and communicate the shortfall to the client constructively.
  • Highly organised with rigorous attention to detail; able to track multiple projects across multiple markets simultaneously without things slipping.
  • Clear and confident communicator in English, both written and verbal, with the ability to adapt your communication style to different stakeholders.
  • Familiarity with project management tools such as Monday.com, Asana, Smartsheet, or equivalent; experience with studio traffic or workflow management systems is a must.
  • An openness to integrating AI & automation tools into your day-to-day project management workflow as a means of improving speed, accuracy, and efficiency across the production process.
  • A diploma or degree in Graphic Design, Marketing, Communications, Business, or a related field is an advantage, though equivalent professional experience will be considered equally.
