Designation: Senior Purchasing Executive
Role Summary
We are looking for an experienced and proactive
Senior Purchasing Executive to manage strategic sourcing, supplier negotiations, regulatory compliance, and shipment coordination. The role requires strong expertise in purchasing operations, Malaysian regulatory standards, and cross-border supplier management, along with the ability to independently handle procurement activities and compliance documentation.
Key Responsibilities
Purchasing & Supplier Management
- Source, negotiate, and manage local and overseas suppliers to achieve competitive pricing, favorable commercial terms, and timely delivery of materials
- Create and manage Purchase Orders and Material Master records in the ERP system
- Oversee shipment arrangements from PO issuance through delivery to warehouse or project site
Regulatory Compliance & Certification
- Ensure all purchased items comply with Malaysian standards and regulatory requirements
- Prepare, submit, and follow up on regulatory applications including:
- SIRIM (product certification, testing reports, and labeling requirements)
- Suruhanjaya Tenaga (ST) Certificate of Approval (COA) for electrical products
- Malaysian Communications and Multimedia Commission (MCMC) device certifications
- Track validity and ensure timely renewal of all certifications, approvals, and licenses
- Maintain accurate and complete documentation for regulatory submissions and approvals
Coordination & Audit Support
- Liaise with testing laboratories, certification bodies, consultants, suppliers, and relevant government authorities
- Support internal and external audits related to product compliance, purchasing processes, and import controls
- Coordinate closely with internal teams to ensure seamless procurement and compliance workflows
Authority
- Create and approve Purchase Orders in line with company policies
- Maintain and update Material Master data
- Manage end-to-end shipment coordination until goods are received at warehouse or site
Role Requirements
Education
- Degree in Business Administration, Supply Chain Management, or a related discipline
Experience
- Minimum 5 years of experience in purchasing or procurement operations
Skills & Competencies
- Proficiency in Mandarin (spoken and written) for communication with suppliers in China and Taiwan (mandatory)
- Strong analytical, negotiation, and communication skills
- High attention to detail with excellent documentation control
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines
- Good working knowledge of ERP systems (SAP preferred)
- Proficient in Microsoft Excel and Microsoft PowerPoint
