Job Overview:

This position will be reporting to the Director of Real Estate and Facilities- Global. The Senior Real Estate & Facilities Spec applies in-depth knowledge, experience, and best practices in Facility Management. They are responsible for solving complex Facility management issues and work independently with minimal guidance.

Responsibilities

Key Tasks and Responsibilities:

  • Responsible for day-to day Facility Operations Management and management of Facilities Team
  • Be the leader of Facilities department in KL region (personnel assessments, appraisals, organizing and allocating tasks and responsibilities, progress control, sharing information, motivation)
  • Responsible for office space and resource Planning and execution of personnel seating allocation and relocations
  • Responsible for Maintaining accurate and live occupancy/vacancy charts
  • Point of contact for FM Vendors/service contractors for day-to-day operations
  • Communication with vendors (through SCM for commercial aspects)
  • Responsible for office cost submission for BIDS and New Projects
  • Communication with landlords for day-to-day requirement (excluding Real Estate aspects)
  • Budget forecasting for OpEx and CapEx
  • CapEx planning, Execution, Project Management and budget control
  • Point of contact for Facility/HSE compliance responsibilities including office security
  • Point of contact for Building maintenance responsibilities-preventive and corrective
  • In charge of FM related documentation preparations (Service Work Orders, Purchase requisitions, Goods received note etc)
  • Responsible for Record keeping and management of Facilities assets, parking etc
  • Interfacing with Clients through Project Management team as required regarding Facility related matters
  • Responsible for CapEx project execution and contractor management
  • Responsible for Liaising with Authorities on Compliance matters related to company facilities
  • Ensure adherence to all corporate, contractual, ethics, and safety standards, policies, and procedures
  • Responsible for messenger/mail room services
  • Responsible for printing services (as required)
  • Responsible for catering/cafeteria services (if any)
  • Responsible for External Storage of Facilities assets
  • Internal & External communication in relation with FM subjects (excluding Real Estate)
  • Responsible for Emergency response organization (Together with QHSES)
  • Support the Corporate Real Estate team
  • Maintenance of fire protection devices and its documentation, in all company premises, including UPS and Server's rooms
  • Comprehensive office management (services)
  • Cooperate during ISO certification and audits in relation with FM
  • Participate in staff meetings for FM topics
  • Initiates cost saving initiatives in relation with FM staff and activities (where possible)
  • Provide oversight to other facility staff where required
  • Close cooperation with HR/Communications in the area of MDR rebranding and marketing strategy; visual management (signs, boards, etc.)
  • Perform other responsibilities unique to the location(s)

Qualifications

Essential Qualifications and Education:

  • 7 -10 Years of Facility Management experience in KL region
  • 5 years minimum in a similar role with a Multinational Company
  • As a minimum -Bachelor's Degree preferably Engineering/Architecture/Facility Management
  • Advanced in the English language, both verbally as written C1 level (min.) Fluent in Malay
  • Fit-out works -Project Management experience and skill set for CapEx execution is a must.
  • Strong project management skills to manage a large volume of workflow
  • Ability to review and analyze third-party reports, including engineering, environmental, and appraisal reports
  • Be a self-starter and autonomous operator with leadership skills
  • Excellent Presentation/Communication skills and Strong interpersonal skills
  • Excellent organizational skills, assertiveness, pro-active mind-set, diligent, and detail-oriented
  • Proven track record with references
  • Software knowledge on Microsoft Word, Power-point, Excel essential. AutoCAD skills is an advantage
  • Technical knowledge of Building Management is a requirement
  • Ability to prioritize and manage their workload to meet deadlines consistently with the accuracy of financial information
