Main Accountabilities
1. End-to-End Sales Order Management
- Take full ownership of the end-to-end order lifecycle, ensuring accuracy, timeliness, and compliance from order creation to completion of deliveries / closure.
- Drive overall sales order backlog management, including:
- Monitoring ageing open orders and backorders
- Ensuring daily updates with clear action plans
- Escalating risks impacting customer deliveries
- Act as the primary escalation point for complex order issues involving:
- Pricing discrepancies
- Delivery delays
- System/data inconsistencies
- PO issuance and communication with the supplier
- Proactively align with Commercial and Supply Chain teams to secure supply commitment and delivery reliability.
- Ensure strict discipline in ERP usage, minimizing manual intervention and ensuring traceability of all transactions for inbound & outbound operations.
2. End-to-End Shipment Management
- Oversee and manage full shipment lifecycle (import/export) from booking to final delivery.
- Ensure timely execution of shipments in accordance with agreed incoterms and delivery schedules.
- Monitor shipment progress and proactively resolve delays or disruptions with supplier and keep commercial updated in the PO listing report.
- Validate and ensure accuracy of all shipping documents with suppliers, commercial and 3PL.
- Ensure compliance with customs regulations, import/export requirements, and local authorities (e.g. RMCD, SST implications).
- Monitor and manage shipment milestones (ETD / ETA) and provide accurate updates to stakeholders.
3. Stakeholder Management & Decision Support
- Serve as a key interface between Commercial, Operations, Finance, and Logistics, ensuring alignment on priorities and issue resolution.
- Influence stakeholders to drive timely decisions on critical matters (e.g. stock allocation, delivery prioritization, order release).
- Provide impact assessment and recommendations to the Business on:
- Stock shortages
- Delivery constraints
- Customer order risks
- Manage external communication with customers/principals for sensitive or escalated cases, ensuring professionalism and solution-oriented outcomes.
4. Process Ownership & Continuous Improvement
- Own and drive standardization of order management processes, ensuring alignment with SOPs and best practices.
- Identify process gaps and inefficiencies, and lead continuous improvement initiatives, including:
- Reduction of order cycle time
- Minimization of order errors and disputes
- Improvement in backorder visibility and management
- Act as a Key User / Super User for ERP (D365):
- Provide feedback for system enhancement
- Support testing, implementation, and user training
- Active participation and ownership in supply chain key project and initiatives
- Drive data governance and integrity, ensuring master data accuracy across customer, pricing, and order parameters.
5. Performance Management & KPI Ownership
- Take accountability for achieving and improving key KPIs, such as:
- Order processing lead time
- Backorder ageing
- On-time delivery (OTD) alignment
- Order accuracy rate
- Analyse performance trends and provide regular reporting with actionable insights to supply chain manager and commercial team.
- Lead corrective actions for recurring issues and track closure effectiveness for NCR.
6. Risk Management, Compliance & Audit Readiness
- Ensure full compliance with SHEQ, regulatory, and internal control requirements.
- Oversee and validate non-conformance reporting, root cause analysis, and corrective actions.
- Ensure readiness for internal/external audits, including proper documentation and traceability for ISO 9001.
- Maintain strong control over credit release processes for sales order and exposure risks in collaboration with Finance.
7. Strategic Support & Planning Alignment
- Actively support S&OP / CICO processes by:
- Providing accurate order backlog visibility
- Highlighting demand risks and abnormal order patterns
- Work closely with Supply Chain Planning to align customer demand with supply capabilities.
- Contribute to inventory optimization strategies by sharing weekly SA/SO report status to the commercial team, including:
- Slow-moving stock mitigation
- Stock allocation prioritization
8. Team Leadership & Capability Building
- Provide guidance and coaching to junior team members (CS / Sales Admin) to ensure consistent performance.
- Act as a role model in process discipline, accountability, and stakeholder management.
- Ensure proper knowledge sharing, backup coverage, and workload balancing within the team.
- Support onboarding and training of new hires.
- Lead the supply chain team in the absent of the supply chain manager.
