Job Description

Key Roles And Responsibilities

  • Prepare, review, and format tender documentation to ensure full compliance with client requirements and company guidelines.
  • Coordinate with Sales, Bid & Design, Customer Operations, Finance, Contract Manager, Sustainability Analyst, and other internal stakeholders to gather pricing, technical information, and required documentation.
  • Develop and finalize deliverables including: PreTender Qualifications, RFIs, RFPs, EOIs, Executive Summaries, Commercial Schedules, Technical Proposals, Compliance Forms, Contract Reviews, and responses to posttender queries.
  • Maintain and update tender trackers, submission calendars, document repositories, and internal databases for accuracy and accessibility.
  • Conduct stringent compliance checks and identify risks or gaps in submissions; escalate issues where necessary.
  • Support ebidding processes, ensuring timely uploads and accurate submission formatting.
  • Monitor tender portals and proactively notify relevant teams of upcoming opportunities.
  • Prepare summary reports, progress updates, and key milestone trackers for management review.
  • Collaborate with teams to drive process improvements that enhance tender quality and efficiency.
  • Stay informed on industry developments, competitor activities, and market trends relevant to tender execution.
  • Demonstrate a strong sense of urgency to meet submission deadlines.

Business Expertise/ Knowledge

  • Strong understanding of tendering processes, compliance protocols, and documentation standards.
  • Familiarity with crossfunctional workstreams, timelines, and approval procedures.
  • Understanding of industry dynamics, commercial environments, and competitor practices.

Job Requirements And Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Minimum 3 years of experience in tender coordination, proposal development, or a similar function.
  • Strong organizational skills and exceptional attention to detail.
  • Familiarity with CRM tools (e.g., opportunities analysis, workload management).
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Strong written and verbal communication skills.
  • Ability to manage multiple deadlines simultaneously.

Travel Requirements

  • Minimal travel required; travel may be requested based on project needs.
