Provide high value support to the business, anticipate risk, risk mitigation and provide solution to the business
Issue contracts after trades are validated and verify accuracy between contracts issued/received in database; recognize discrepancies and communicate with the trading desk
Arrange L/C opening in due time and check L/C received is in order. Prepare and collate documents for presentation under sales L/C making sure all documents to be presented under L/C are clean
Liaise with suppliers, internal and external customers, surveyors, vessel agents, custom agents, storage terminals to plan and manage the shipments according to contractual requirements. Activities include following-up on freight bookings and vessel tracking, checking the shipment plan, sending vessel nominations, sending/receiving shipping instructions, appointment of surveyors for loading and discharging operations, receiving/issuing letter of credit, sending/receiving shipment tenders, preparation and negotiation of shipping documents to ensure settlements are done timely and correctly
Liaise with traders on weight and quality issues both on purchases and sales
Liaise with traders and customers on contract pricing
Liaise closely and provide support to other functions within the group i.e. Accounting, Controllers, Treasury, Credit Risk and Compliance
Liaise with various execution excellence centers (SBS team, Laytime specialists, etc.)
Responsible for maintenance of the trading system to ensure the contract execution status is correct and all relevant data is input correctly and on time
Responsible for tracking receivables and payables, and closing of aging files and perform clean-up on cost accruals of past shipments
Report insurance claims to insurance team and insurance broker and properly preserve all correspondence on the claim
Coordinate retrieval of requested information for various audits throughout the year
Daily real-time update in the trading system and weekly cash forecast
Provide regular feedback to traders/managers on status of shipments
Experiences:
At least 2-3 years of relevant working experiences in bulk shipment, handling of shipping documents (B/L, certificates of weight and quality, etc.)
Experience in bulk execution for palm
Knowledge on FOSFA & PORAM contract terms
Knowledge of Incoterms, UCP/ISBP rules are mandatory
Knowledge of L/C negotiation process
Knowledge of Charter Party terms, vessel laytime calculations preferred but not essential
Ability to work in a fast-paced environment and handle a huge volume of shipments
Ability to prioritize multiple tasks, meet deadlines and propose solutions
Ability to work independently and commit OT when required
