Key Responsibilities
1. Front Office & Patient Management
- Reception & Scheduling: Manage all patient flow, intake, and scheduling for the entire specialist team (Pediatrician, Psychiatrist, Psychologist) using the Wix Bookings system.
- Billing & Finance: Generate accurate, itemized receipts and invoices (via Wix) for all consultation fees, procedures, and dispensed medications, including managing documentation for insurance panel claims and fee collection.
- Customer Service: Serve as the primary point of contact, ensuring a calm, professional, and confidential atmosphere in the Waiting Room.
2. Clinical Support & Procedure Assistance
- Vitals & Intake: Prepare patients for consultations, including measuring vital signs, weight/height (BMI), and updating medical records.
- Procedure Aid: Assist the Pediatrician and Psychiatrist during examinations, procedures (e.g., vaccinations, rapid testing), and specialized assessments.
- Inventory & Supplies: Monitor and manage inventory of consumables and medical supplies, ensuring stock is rotated and accounted for.
3. Regulatory & Dispensary Compliance (Critical Area)
- Dispensing Aid: Assist the appointed Registered Medical Practitioner (RMP) in retrieving and labeling dispensed medications from the secure dispensary.
- Poisons Log Management: Maintain meticulous, up-to-date manual logs and registers for all Scheduled Poisons and Dangerous Drugs (DDA) dispensed by the Psychiatrist, ensuring absolute compliance for MOH audits.
- Cold Chain Management: Monitor and log temperatures of the medical-grade refrigerator daily (twice-daily logging required) to ensure Vaccine Cold Chain integrity.
- Scheduled Waste: Manage the segregation, labeling, and secure temporary storage (in the designated Waste Room) of all clinical waste (sharps, contaminated materials) for contractor collection (DOE compliance).
Qualifications & Compensation
- Professional Certification: Registered Nurse (RN) with a valid APC or Assistant Medical Officer (AMO) certificate recognized by the relevant Malaysian Council.
- Experience: Previous experience in a private clinic or medical dispensary role is highly advantageous.
- Skills: Exceptional administrative rigor, proficiency with digital systems (able to master online scheduling), and a strong commitment to ethical practice.
