About the Job
To lead and manage the procurement and supply chain operations for raw materials — specifically tree logs, timber, and furniture components — by developing strong supplier partnerships, ensuring cost-effective and timely material availability, and driving cross-site coordination between Rawang HQ and Bidor Plant.
Key Responsibilities (Procurement & Supply Focus)
1. Raw Material Sourcing & Supplier Management
- Identify, evaluate, and onboard suppliers of tree logs, timber, and furniture-related raw materials from Northern & Southern regions.
- Travel extensively to supplier sites for quality assessment, relationship building, and negotiation.
- Evaluate suppliers on cost, quality, delivery reliability, and compliance (including environmental & legal standards).
- Maintain long-term partnerships to ensure stable raw material supply for production.
2. Procurement Operations & Cost Control
- Develop and execute procurement action plans to meet organizational KPIs (cost, quality, delivery).
- Monitor and control costs associated with raw material purchasing and logistics.
- Review and verify inventory records to identify discrepancies, dead stock, or slow-moving timber/logs.
- Lead the team in clearing old or obsolete stock through strategic disposal or repurposing.
3. Cross-Functional & Site Coordination
- Establish and maintain clear communication channels between Rawang HQ and Bidor Plant regarding material requirements, shipment schedules, and inventory status.
- Support and collaborate with production, sales, and finance teams to improve project execution efficiency.
4. Team Leadership & Training
- Lead, guide, and develop the procurement and inventory team.
- Provide training on procurement policies, supplier evaluation, stock take procedures, and compliance.
- Develop training plans to improve team effectiveness in sourcing and inventory management.
5. Compliance, Audit & Standards
- Ensure all procurement activities comply with relevant laws, environmental regulations, and company standards.
- Lead ISO and FSC (Forest Stewardship Council) audit preparation and responses – a strong plus.
- Maintain accurate records of all procurement transactions, supplier contracts, and financial data.
- Ensure all incoming raw materials are properly labeled, documented, and stored according to company standards.
6. Inventory & Stock Take Management
- Lead the team in physical stock take operations and reporting, including reconciliation of logs and timber inventory.
- Review dead or slow-moving stock and execute clearance plans.
- Ensure timely replenishment of critical raw materials to avoid production downtime.
7. Customer & Stakeholder Engagement
- Professionally handle supplier-related inquiries or complaints.
- Promote a positive company image among raw material suppliers and industry stakeholders.
Additional Duties
- Maintain a clean and organized storage area for raw materials.
- Participate in meetings and training sessions on industry trends and best practices.
- Contribute to the overall success of Hextar Retail through dedication, problem-solving, and operational excellence.
Qualifications & Experience
- Education: Diploma or Degree in Supply Chain, Business, Forestry, Manufacturing, or related field.
- Experience: Minimum 5 years in procurement / supply chain, preferably in timber, logs, furniture, or heavy manufacturing.
- Travel: Willing to travel frequently to Northern & Southern regions for supplier engagement.
- Advantage: ISO and FSC audit experience (documentation, process review, compliance).
- Soft Skills: Leadership, negotiation, problem-solving, cross-functional communication.
