Get to know about the role:

We are looking for a highly driven, adaptable, and hands-on PMO professional to join one of the most exciting large-scale transformation projects in the Malaysian retail space. You will be directly responsible for project managing the development and go-live of a next-generation automated warehouse.

This is far more than a traditional PMO role. It is a unique opportunity to be at the centre of a complex, high-impact build that brings together construction, automation technology, software systems, hardware integration, operational design, supply chain flows, people operations, and large-scale change management — all within a live business environment.

You will work across multiple project workstreams, helping to orchestrate the moving parts that turn a warehouse concept into a fully operational automated facility. You will need to govern and oversee timeline management and dependency tracking and risks across stakeholders from Malaysia and China. 

The right candidate will be comfortable navigating ambiguity, connecting dots across teams, challenging assumptions, and contributing meaningfully to decision-making and execution. You will enjoy it if you are eager to immerse yourself in the project and gain exposure to the full ecosystem. 

As the project is already in motion, this role is best suited for someone who thrives in fast-paced environments, learns quickly, takes ownership naturally, and is eager to gain exposure to the full ecosystem of delivering a large-scale automation project from build to go-live.

**Ability to speak Mandarin is a must have. Experience or understanding of warehouse software systems, operational flows, process design, or systems integration will be highly advantageous.

Key Responsibilities:

Project Management:

  • Drive coordination across multiple workstreams within a large-scale warehouse automation project
  • Build and manage integrated timelines, milestones, dependencies, and critical paths across teams
  • Keep execution on track through strong follow-through, issue management, and proactive escalation of risks or delays
  • Lead coordination across internal teams, external vendors, consultants, and regional stakeholders
  • Facilitate project meetings, workshops, and governance sessions with clear action tracking and accountability

Planning & Reporting:

  • Develop and maintain project plans, reporting dashboards, dependency trackers, and executive updates
  • Prepare clear, high-quality presentations and materials for leadership and steering committee reviews
  • Monitor overall project health and provide visibility on progress, blockers, resource constraints, and key decisions
  • Bring structure and clarity to a fast-moving and evolving project environment

Business & Operational Support:

  • Work closely with operations, supply chain, warehouse, engineering, technology, and vendor teams across the project lifecycle
  • Understand operational flows and processes well enough to identify gaps, challenge assumptions, and contribute practical input
  • Support planning and decision-making through structured analysis, coordination, and execution support
  • Help translate business and operational requirements into actionable plans leading up to go-live

You should have:

  • Based in Kuala Lumpur
  • Mandarin proficiency is mandatory — must be confident communicating with native Mandarin-speaking stakeholders, vendors, and project teams
  • Able to work effectively across multilingual and cross-functional environments
  • 5-6 years of relevant work experience. 
  • Must demonstrate capability for project management (covering broad areas such as operations, supply chain, consulting, or related fields)
  • Strong advantage for candidates with experience in warehouse operations, logistics, automation, retail, manufacturing, or supply chain projects
  • Very strong advantage for exposure to warehouse systems, software implementation, operational flows, or systems integration
  • Able to manage multiple priorities and moving parts in a dynamic project environment
  • Highly proficient in creating and maintaining: 
  • Project timelines and Gantt charts
  • Dependency and risk trackers
  • Executive presentation materials
  • Meeting summaries and action logs
