Southern Cross Education Institute (SCEI) is a well-respected education provider in Australia, with campuses in both South Australia and Victoria. SCEI delivers programs in the health, community, or early childhood sectors to both local and international students.
As a multinational organization, SCEI owns offices in Cyberjaya, which houses members of the technical support and administrative teams. SCEI also has a sister company, Formee Holdings, which is based on the same office suites in Cyberjaya.
Purpose of the Position
The System Administrator & IT Support is responsible for the effective management and maintenance of SCEI's Moodle Learning Management System while providing comprehensive administrative, student support, and IT services. This includes overseeing the technical operations of the LMS, maintaining accurate student records, processing student enrolments and requests, delivering day-to-day administrative support, and providing general IT support including user account management to students, lecturers, and staff.
The role plays a critical part in ensuring the smooth delivery of online, blended, and on-campus learning experiences, supporting student success, and maintaining full compliance with relevant regulatory requirements including TEQSA and ASQA (Australia), and Southern Cross Education Institute policies and procedures.
Key Responsibilities
LMS Administration & Technical Support
- Install, configure, upgrade, and maintain the Moodle LMS, including core updates, plugins, themes, and performance monitoring.
- Manage user accounts, roles, permissions, enrolments, and integrations with the Student Information System (SIS) or in-house database.
- Troubleshoot technical issues, provide Level 2/3 support to students, lecturers, and staff, and assist with content uploads and course management.
- Generate reports on system usage, course completion, engagement metrics, and learning analytics.
- Ensure system security, data privacy, backups, and compliance with relevant standards (e.g., PDPA).
IT Support
- Provide first-line IT support to students, lecturers, and administrative staff for hardware, software, network, and access-related issues.
- Create and manage new user accounts in the domain, email systems, and other institutional platforms.
- Troubleshoot and resolve basic computer, printer, projector, classroom technology, and connectivity problems.
- Support the setup and operation of audio-visual equipment for classes, meetings, and orientation programs.
- Manage user access for Wi-Fi, shared drives, and other institutional systems.
- Liaise with external IT vendors or the central IT team for escalated technical issues
Student Database & Academic Administration
- Enter new student enrolments into the student database and Moodle.
- Update student attendance, academic progress, and records on both the in-house database and Moodle.
- Process student requests, credit transfers, and issue student certificates.
- Generate reports from the student database as required.
- Ensure timely notification to students regarding classes, room allocations, and campus updates.
- Check documents and files for accuracy and compliance.
General Administrative & Student Support Duties
- Handle general administrative tasks including mail, couriers, filing, scanning, copying, binding, and archiving.
- Answer incoming calls, respond to student and staff queries, and distribute student request forms/applications to relevant departments in a timely manner.
- Maintain and provide housekeeping to offices and meeting rooms when necessary.
- Manage stationery inventory (maintenance and storage).
- Assist with student orientation programs.
- Type up documentation, prepare reports, and support Admin/HR/Compliance departments as required.
- Maintain up-to-date student request documents and ensure they are readily available for students.
Reporting & Performance
- Provide weekly reports on completed duties and system activities.
- Meet weekly Key Performance Indicators (KPIs) and submit timely reports to the Operations / Administration Manager.
Requirements & Qualifications
Education
- Bachelor's degree in information technology, Computer Science, Education Technology, Business Administration, or a related field.
Experience
- 2–5 years of combined experience in Moodle LMS administration, educational/student administration, and IT support (experience in a higher education or private college setting is highly preferred).
- Hands-on experience with Moodle site management, user enrollment, database updates, general administrative support, new user account creation, and basic IT troubleshooting.
Technical & Administrative Skills
- Strong knowledge of Moodle administration, PHP, MySQL, web servers, and system integrations.
- Proficiency in creating and managing domain user accounts, email systems, and access permissions.
- Experience in providing first-line IT support (hardware, software, network, and AV equipment).
- Knowledge of Active Directory, Microsoft Azure, Microsoft 365, and VOIP configuration.
- Familiarity with CCTV configuration, Access point configuration, and Cisco devices.
- Proficiency in managing student databases, generating reports, and handling student records.
- Excellent organizational and multitasking skills with strong attention to detail.
- Good command of English and Bahasa Malaysia (spoken and written).

- Strong communication and interpersonal skills.
- Ability to work independently as well as collaboratively in a fast-paced education environment.
- Problem-solving mindset and ability to handle confidential information professionally.
Preferred Qualifications
- Moodle Administrator certification or relevant training.
- Familiarity with additional tools such as Turnitin, Zoom, or learning analytics plugins.
- Knowledge of TEQSA and ASQA requirements in Australia higher education.
- Basic networking and hardware troubleshooting skills.
