The TA Tools & Process Excellence Specialist is the Talent Acquisition business lead for recruitment tools, processes and user enablement. While HRIS owns enterprise HR systems administration, configuration, governance, security, integrations and technical support, this role ensures Talent Acquisition teams maximise the value of approved recruitment technologies through training, adoption, process standardisation and continuous improvement.
The role partners closely with HRIS, Technology and vendors to represent TA requirements, coordinate user acceptance testing (UAT), support change management and ensure technology enables scalable, consistent and efficient recruitment practices.
Key Responsibilities
- Act as the TA business owner for recruitment tools and recruiter workflows.
- Partner with HRIS on configuration, releases, integrations and governance.
- Coordinate TA enhancement requests and prioritisation with HRIS and vendors.
- Provide first-line functional support to recruiters and hiring managers; escalate technical issues to HRIS.
- Coordinate UAT for new releases and enhancements from a TA perspective.
- Drive adoption of approved TA technologies including ATS, CRM, sourcing, scheduling, AI, assessments and recruitment marketing tools.
Process Excellence
- Own and maintain global TA SOPs, recruiter playbooks and process documentation.
- Create process maps, hiring manager guides, templates, FAQs and knowledge articles.
- Standardise recruiting processes globally while allowing for regional compliance.
- Identify bottlenecks and recommend improvements that enhance recruiter productivity and candidate experience.
- Ensure TA processes align with governance established by HRIS and HR Operations.
Training & Enablement
- Design and deliver onboarding for recruiters and coordinators.
- Deliver training for hiring managers on TA tools and recruitment best practices.
- Produce user guides, quick-reference material and video content where appropriate.
- Communicate system updates, process changes and new capabilities.
- Measure adoption and provide coaching to improve utilisation.
Reporting & Continuous Improvement
- Monitor utilisation of TA tools and recruiter adoption.
- Identify trends and opportunities for optimisation.
- Partner with TA Operations & Insights on reporting related to process effectiveness.
- Research emerging recruitment technologies and recommend improvements.
Stakeholder Management
- Partner with HRIS, HR Operations, Recruiters, Hiring Managers, Technology teams and external vendors to deliver a seamless TA experience.
Experience
- 3–5 years in Talent Acquisition Operations, Recruitment Operations or HR Operations.
- Hands-on experience using Workday Recruiting or another ATS as a power user/super user.
- Experience developing SOPs, process documentation and training materials.
- Experience supporting UAT, change management and technology rollouts.
- Excellent stakeholder management, communication and continuous improvement skills.
