This role supports the recruitment operations and headhunter management function, working closely with the Talent Acquisition (TA) teams across all regions. The position plays a critical role in ensuring accurate candidate channel attribution, effective headhunter/agency management, and timely processing of recruitment-related payments.

In this role, you will be responsible for:

1) Recruitment Channel Determination

  • Accurately determine and validate the recruitment channel for each onboarded candidate, including but not limited to official career website, job portal, external agencies, employee referrals, and other sourcing channels.
  • Exercise sound judgment to ensure precise channel attribution and resolve discrepancies or disputes related to candidate source and channel ownership in collaboration with Talent Acquisition teams and external agencies.

2) External Agencies Management

  • Manage existing headhunters and recruitment agencies, including contract renewals, trial conversions and contract extensions.
  • Coordinate onboarding of new recruitment agencies, including due diligence and internal approvals.
  • Liaise closely with the Procurement and Legal teams to ensure timely preparation, review, and execution of contracts and agreements.
  • Serve as the primary point of contact for agencies on operational matters.

3) Recruitment Operations & Payments

  • Consolidate monthly onboarding data by region, channel, and agency.
  • Prepare and process monthly headhunter placement fee payments and internal employee referral bonuses.
  • Ensure accuracy of payment calculations in accordance with contractual terms and internal policies.
  • Maintain clear and auditable records of recruitment data, payments, and supporting documentation.

4) Data & Reporting

  • Maintain and manage recruitment data with a high level of accuracy and attention to detail.
  • Prepare regular reports and summaries for Talent Acquisition and relevant stakeholders.
  • Continuously improve data tracking, templates, and operational processes to enhance efficiency and accuracy.

You could be a good if you have/are:

1) Education & Experience

  • Bachelor's degree in Human Resources, Business Administration, Finance, or a related field.
  • Experienced in recruitment operations, HR operations, talent acquisition support, or agency management is added advantage.

2) Skills & Competencies

  • Strong numerical sensitivity and high attention to detail, particularly in data validation and payment processing.
  • Advanced proficiency in Microsoft Excel (e.g. Pivot Tables, VLOOKUP/XLOOKUP, data reconciliation).
  • Strong analytical and organizational skills with the ability to manage multiple data sources and deadlines.
  • Ability to exercise sound judgment and make accurate determinations in ambiguous situations.

3) Language Requirement

  • Bilingual proficiency in English and Chinese (written and spoken) to support regional stakeholders and agencies.

4) Personal Attributes

  • Meticulous, structured, and process-oriented.
  • Comfortable working with data, numbers, and contracts on a monthly recurring basis.
  • Strong communication and stakeholder management skills.
  • Able to work independently while collaborating closely with cross-functional teams across regions.
