Job Summary

The Team Assistant (Site Team) provides administrative and coordination support to ensure smooth site operations. The role supports the Site Manager and Site Systems Engineer team by managing documentation, coordinating equipment and materials readiness, and arranging travel & logistics for site deployments.

Key Responsibilities

Administrative & Coordination Support

  • Provide day-to-day administrative support to the Site Manager and Site Systems Engineer team.
  • Coordinate communication and documentation between internal teams, site engineers, and relevant stakeholders.
  • Assist with meeting coordination, including schedules, agendas, and minutes.

Travel & Deployment Logistics

  • Arrange travel logistics for site assignments (flights, accommodation, and transportation).
  • Maintain and update site team schedules, travel plans, and deployment arrangements.

Equipment / Materials Readiness & Procurement Support

  • Assist in preparing purchase requests/orders for site tools, equipment, and materials.
  • Coordinate with suppliers, vendors, and internal departments on orders, deliveries, and related documentation.
  • Monitor and verify readiness of equipment/tools/materials before site deployment.

Documentation, Reporting & Record Management

  • Maintain and organise project documentation (reports, drawings, correspondence, and site records).
  • Track and update project progress based on inputs from the project team.
  • Assist in compiling internal progress reports and site updates.
  • Maintain accurate records of project correspondence and documentation.

Compliance & Training Records

  • Coordinate NIOSH and CIDB training registrations when required.
  • Maintain training/certification records and ensure documentation is properly filed.
  • Maintain filing of compliance, safety, and regulatory documents related to site operations.

Other

  • Perform other duties as assigned by the Site Manager or Management.

Requirements

  • Strong organizational and coordination skills.
  • Good communication and interpersonal skills.
  • Ability to manage multiple tasks and work under deadlines.
  • Detail-oriented and able to maintain accurate documentation and records.
  • Ability to work independently and as part of a team.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Minimum Diploma in Business Administration, Management, or related field.
