Position Overview
The Assistant Warehouse and Logistics Manager plays a pivotal role in supporting the effective and efficient management of warehouse operations and logistics for a licensed manufacturing warehouse (LMW) factory in Malaysia. This individual will assist in planning, organizing, and supervising all aspects of warehouse management, inventory control, inbound and outbound logistics, as well as ensuring full compliance with Malaysian customs and regulatory requirements. The role requires strong leadership, analytical, and organizational skills to ensure seamless operations that support the overall production and business objectives of the factory.
Key Responsibilities
- Warehouse Operations Management
- Assist in overseeing daily warehouse operations, including receiving, storage, picking, packing, and dispatch of goods.
- Ensure efficient layout and optimal utilization of warehouse space to maximize productivity and minimize costs.
- Implement and uphold warehouse best practices in accordance with industry standards and company policies.
- Conduct regular inspections to ensure cleanliness, safety, and compliance with health and safety regulations in line with 6S.
- Supervise warehouse staff and coordinate training and development programs to enhance workforce performance.
Inventory Management
- Monitor and maintain accurate inventory records using warehouse management systems (WMS) and manual documentation where necessary.
- Support periodic stock counts and cycle counts to ensure accuracy and prevent losses or discrepancies.
- Investigate and resolve any inventory variances or issues promptly and effectively.
- Assist in maintaining appropriate stock levels of raw materials, work-in-progress (WIP), and finished goods in line with production requirements.
- Coordinate with purchasing, production, and sales teams to forecast and manage inventory flow.
- Ensure that the warehouse has sufficient space and arrangements for expansion.
Logistics Coordination
- Assist in coordinating all inbound and outbound logistics, including import, export, and local deliveries.
- Liaise with transport providers, freight forwarders, courier companies, and customs agents to ensure timely and cost-effective shipments.
- Monitor logistics KPIs such as on-time delivery, transportation costs, and order accuracy.
- Implement strategies to optimize logistics and distribution processes, reducing lead times and costs.
- Coordinate with external and internal stakeholders to address and resolve any logistics challenges.
- Plan and supervise loading and unloading of cargo efficiently and cost effectively.
- May be required to use heavy machinery such as forklifts, pallets jacks, stackers, lift trucks, etc.
- May be required to palletise cargo and load cargo, if there are not enough personnel.
Compliance and Regulatory Management
- Ensure all operations comply with requirements for Licensed Manufacturing Warehouse under the Royal Malaysian Customs Department (JKDM) regulations.
- Maintain necessary documentation and records for customs audits, import/export permits, and tax exemptions.
- Assist in preparing reports for submission to regulatory authorities as required.
- Stay updated on relevant customs, trade, and logistics regulations to ensure ongoing compliance.
- Ensuring that customs reports are updated on a daily basis, so that there are no non-compliance occurrences.
Process Improvement and Reporting
- Identify opportunities for operational improvements and implement initiatives to enhance warehouse and logistics efficiency.
- Utilize data analysis and reporting tools to monitor key performance indicators (KPIs) and drive continuous improvement.
- Assist in preparing regular reports on warehouse and logistics performance for management review.
- Participate in cross-functional projects and contribute to process re-engineering and digitalization efforts.
Team Leadership and Staff Development
- Provide support and guidance to warehouse and logistics staff, fostering a positive working environment.
- Assist in staff scheduling, recruitment, and onboarding processes.
- Encourage adherence to company policies, safety guidelines, and operational standards.
- Support the Warehouse and Logistics Manager in conducting performance reviews and identifying training needs.
Customer Service and Stakeholder Engagement
- Respond effectively to internal and external customer inquiries related to warehouse and logistics matters.
- Develop strong working relationships with suppliers, transporters, customs officers, and other key stakeholders.
- Assist in resolving customer complaints or supply chain disruptions promptly and professionally.
Qualifications and Requirements
- Bachelors degree or diploma in Logistics, Supply Chain Management, Business Administration, or related field.
- Minimum 3 years of experience in warehouse and logistics operations, preferably within a licensed manufacturing warehouse or similar regulated environment.
- Familiarity with Malaysian customs regulations, LMW requirements, and export/import documentation processes.
- Proficiency with warehouse management systems (WMS), inventory control software, and Microsoft Office Suite.
- Strong organizational, analytical, and problem-solving skills.
- Effective communication and leadership abilities with a team-oriented mindset.
- Ability to work independently, multi-task, and prioritize in a fast-paced environment.
- Keen attention to detail and a commitment to safety and compliance.
- Ability to work flexible hours or overtime as required to meet operational needs.
- Up to date forklift license.
- Qualified First Aider.
- Fluency in English; proficiency in Bahasa Malaysia and/or Mandarin is an advantage.
Working Conditions
- Based in a manufacturing warehouse environment; exposure to warehouse equipment and machinery is expected.
- May require extended working hours during month-end, stock counts, audits, or to meet shipment deadlines.
- Physical activities such as walking, standing, and lifting moderate loads may be necessary.
- Travel to suppliers, customers, or customs offices may be required occasionally.
