Account Executive Accounts Receivable & Accounts Payable

About the Role

We are looking for a responsible, detail-oriented and hands-on Account Executive to join our Finance & Accounts team.

This role will be responsible for the day-to-day management of Accounts Receivable (AR), Accounts Payable (AP), e-commerce accounting transactions, bank reconciliation, payment processing and general accounting administration.

The ideal candidate should be comfortable working with computerized accounting systems and handling transactions across multiple e-commerce platforms and payment gateways. Experience with SQL Accounting Software, Lazada, Shopee and TikTok Shop will be an added advantage.

Key Responsibilities

1. Accounts Payable & Staff Claims

- Prepare, verify and process staff claims, including claims submitted by Directors and employees.

- Ensure claims are supported by the necessary documents and comply with company policies.

- Prepare and process withholding tax payments and related documentation.

- Assist the Commercial Team with importing Purchase Orders (POs) into the accounting system.

- Maintain proper supporting records.

2. Accounts Receivable & Collections

- Record official receipts (ORs) and payments received from e-commerce platforms and payment gateways.

- Prepare and record sales invoices for platform sales accurately and on a timely basis.

- Obtain information from relevant departments to ensure accounting records are complete and accurate.

- Maintain updated Accounts Receivable ledgers and journals.

3. E-Commerce Accounting

- Create and maintain new product SKUs in the SQL accounting system.

- Link Lazada, Shopee and TikTok stores to the SQL e-commerce module.

- Map and maintain product SKUs within the SQL e-commerce module.

- Post Lazada, Shopee and TikTok orders into the accounting system.

- Post and reconcile Lazada, Shopee and TikTok payments.

- Manually enter sales invoices and knock off payments for Shopify, PG Mall, BOH.com and S-Rewards.

- Download, maintain and properly file reports from e-commerce platforms and payment gateways.

- Reconcile e-commerce sales, platform payments and bank receipts to ensure transactions are complete and accurate.

4. Bank Reconciliation & General Accounting

- Perform regular bank reconciliations and investigate discrepancies.

- Match bank receipts and payments against accounting records.

- Ensure accounting transactions are accurately recorded in the accounting system.

- Assist in maintaining accurate and up-to-date accounting ledgers and journals.

- Assist with month-end closing and other accounting activities.

- Prepare accounting reports and statements for internal use.

- Maintain proper documentation and filing of accounting records.

5. General & Administrative Duties

- Perform accounting data entry and general administrative tasks related to the Finance & Accounts function.

- Work closely with Commercial & other departments to obtain information required for accounting and reconciliation purposes.

- Assist with audit-related requests and provide supporting documents when required.

- Ensure all assigned tasks are completed accurately and within the required deadlines.

- Perform other ad-hoc accounting and administrative duties as assigned by the Manager.

Requirements

- Diploma or Degree in Accounting, Finance or a related field, or equivalent qualification.

- Minimum 2 years of relevant accounting experience.

- Good working knowledge of Accounts Receivable, Accounts Payable and general accounting procedures.

- Proficient in Microsoft Office, particularly Microsoft Excel.

- Experience with computerized accounting systems.

- Knowledge of SQL Accounting Software is a must.

- Experience handling Lazada, Shopee, TikTok Shop or other e-commerce transactions is an added advantage.

- Basic knowledge of Service Tax (SST) and withholding tax.

- Good numerical and analytical skills with strong attention to detail.

- Good organizational skills with the ability to manage multiple tasks and meet deadlines.

- Responsible, hardworking, proactive and willing to learn.

- Strong sense of urgency and accountability towards assigned responsibilities.

- Good communication, teamwork and problem-solving skills.

- Required languages: Bahasa Malaysia and English.

- Candidates who are able to start immediately or at short notice will have an advantage.

The successful candidate will be expected to maintain:

- Accurate and timely posting of AR, AP and e-commerce transactions.

- Timely reconciliation of bank, e-commerce platform and payment gateway transactions.

- Accurate SKU creation and mapping within the SQL system.

- Timely follow-up and recording of customer payments.

- Proper maintenance and filing of accounting documentation.

- Timely completion of assigned month-end accounting activities.

- Minimal errors and discrepancies in accounting records.

- Effective coordination with internal departments.
