Position Summary

We are looking for a proactive and detail-orientedAdmin & Sales Operations Executiveto support both administrative and sales operations. This role ensures smooth daily operations, efficient workflows, and timely support for internal teams and clients.

Key Responsibilities:

Administration & Operations Support

  • Develop, implement, and maintain operational processes and procedures.
  • Optimize inter-departmental processes for seamless operations.
  • Oversee office maintenance, equipment upkeep, and vendor coordination.
  • Facilitate employee onboarding/offboarding and maintain administrative records.
  • Uphold workplace safety, cleanliness, and compliance requirements.
  • Manage office inventory of office supplies, stationery, pantry items, and general supplies.
  • Handle general enquiries, calls, and correspondence.
  • Handle administrative tasks supporting internal events, corporate meetings, staff activities.
  • Perform administrative and operational ad hoc tasks as assigned.

Sales Operations Support

  • Support the Sales Team in preparing quotations, Purchase Orders, Delivery Orders, Invoices, maintenance certificate issuance, maintenance contract renewals, and related sales documentation.
  • Track shipments status, coordinate between internal teams, suppliers, and customers to ensure timely delivery.
  • Assist in generating weekly sales reports, outstanding sales reports, and aging reports.
  • Maintain up-to-date records of support maintenance and contract renewal records.
  • Coordinate with internal stakeholders and external parties, including suppliers and customers, to provide timely administrative support for sales operations.

Qualifications & Skills:

  • Diploma or Bachelor's Degree in Business Administration, Operations Management, or related filed.
  • 1-3 years of relevant experience in administration, operations, or sales support (fresh graduates are encouraged to apply).
  • Excellent organizational, multitasking, communication skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Proactive, detail-oriented, and able to work independently in a fast-paced environment.
