Admin Executive Job Scope
1. General Administrative Support
- Handle daily administrative tasks such as filing, data entry, and documentation.
- Manage correspondence including emails, letters, and phone inquiries.
- Maintain and update company records, databases, and filing systems.
2. Office Coordination
- Coordinate office operations to ensure smooth workflow.
- Assist in scheduling meetings, preparing meeting materials, and taking minutes when required.
- Monitor and maintain office supplies and place orders when necessary.
3. Property-Related Administrative Tasks (if applicable)
- Assist with property documentation, agreements, and record management.
- Liaise with tenants, property agents, or vendors when needed.
- Support the team in handling property listings, tenancy renewals, and follow-up tasks.
4. Finance & Billing Support
- Assist with basic bookkeeping tasks, invoice preparation, and payment follow-up.
- Help coordinate with finance for billing, claims, and reimbursement processes.
5. Vendor & Stakeholder Coordination
- Communicate with suppliers, service providers, and external partners.
- Ensure timely follow-up on maintenance, service requests, or project updates.
6. Reporting & Documentation
- Prepare monthly administrative reports, summaries, and tracking sheets.
- Assist in drafting letters, memos, and other official documents.
7. Other Responsibilities
- Support managers and departments with ad-hoc tasks or projects.
- Ensure office cleanliness, safety, and compliance with company policies.
