About the Role:

The Administrative Intern supports day-to-day operations across NGOhub and GivingHub. This role is suitable for students from all fields of study, as tasks are guided, and focused on general administrative support, research, donation and data management. The intern should be able to prioritise tasks, manage multiple assignments, and maintain a high level of accuracy.

Key Responsibilities:

  • Perform general administrative tasks such as scheduling meetings, preparing documents, formatting files, conducting basic research, and compiling simple reports.
  • Support HR administrative processes, including preparing onboarding materials, organising files, and updating records.
  • Assist with finance-related administrative tasks such as data entry, document filing, and maintaining accurate records of project expenses and budgets (no finance background required).
  • Update and maintain internal databases, spreadsheets, and record-keeping systems to ensure information is complete and accurate.
  • Respond to stakeholder inquiries via email and other communication channels in a timely and professional manner.
  • Assist in the verification, documentation, and profiling of NGOs and partners for organisational records and due diligence.
  • Handle confidential information with integrity and discretion.
  • Support the team with ad-hoc tasks as required.

Selection Criteria:

  • Interest in developing administrative, coordination, and organisational skills.
  • Ability to manage tasks, organise work, and meet deadlines.
  • Good written and verbal communication skills, with strong attention to detail.
  • Demonstrated problem-solving attitude and willingness to take initiative.
  • Motivated, adaptable, and eager to learn across different functions.
  • No specific major or prior admin experience required; guidance will be provided.
  • Good command of English and Bahasa Melayu.
