Job Description

Job Overview

We are looking for a detail-oriented and organized Administrative Assistant to support daily office operations in our Hardline Laboratory. This role involves coordinating with internal teams and customers, managing reports and documentation, supporting data entry and administrative processes, and assisting with invoicing and accounts receivable matters to ensure smooth business operations.

Key Responsibilities

  • Prepare and send daily report lists to relevant departments to ensure timely report release to customers.
  • Create acceptance forms and confirm details with customers.
  • Handle subcontract submissions and process purchases for subcontractors/suppliers through the COUPA system.
  • Compile test results from technicians and prepare test reports.
  • Coordinate with the review and log-out teams to send finalized reports to clients.
  • Upload reports and maintain accurate data in the system, including creating client accounts.
  • Prepare and send quotations to customers.
  • Manage courier arrangements for contracts and returned samples.
  • Monitor stationery usage and arrange purchases when necessary.
  • Support other administrative tasks as assigned by the supervisor.

Requirements

  • 23 years of experience in Customer Service, Administration, or Testing-related roles.
  • Basic knowledge of Accounting or Finance is an advantage.
  • University degree in Business Administration, Accounting, or a related field is preferred.
  • Proficiency in reading documents, writing emails, and speaking.
  • Strong organizational and multitasking abilities.
  • Good communication and coordination skills.
  • Attention to detail and accuracy in data entry and documentation.
  • Ability to work independently and manage deadlines.
