The Analyst, Procurement & Contract Management Malaysia will prepare, gather, analyze, and execute procurement and contract management activities across projects, corporate, and indirect spend. This role ensures efficient sourcing of materials, services, and equipment while supporting safe, on-time, and cost-effective delivery. The role will also provide insights and recommendations to optimize procurement processes, supplier performance, and value delivery.
Responsibilities:
Procurement Planning & Operations
- Plan, analyse, and recommend sourcing strategies for materials and services, following procurement guidelines and frameworks;
- Prepare procurement plans, gather stakeholder requirements, and support efficient execution of sourcing activities;
- Manage sourcing processes, including tendering, clarifications, evaluations, contract awards, and documentation using digital tools;
- Oversee purchase orders and materials management to ensure timely availability and optimal resource utilization.
Supplier Relationship Management & Stakeholder Collaboration
- Facilitate supplier identification, evaluation, onboarding, and performance management to ensure quality and value delivery;
- Support strategic supplier relationship management initiatives to enhance collaboration, innovation, and continuous improvement;
- Coordinate with key stakeholders across functions and regions to align procurement activities with overall business objectives;
- Ensure effective engagement with key stakeholders and maintain visibility of procurement strategies and progress to senior management.
Contract & Contractor Performance Management
- Plan and perform post-award activities, including contract changes, extensions, Performance Guarantee (PG) validity, contract expiry, and Approved Contract Value (ACV) utilisation;
- Analyse and consolidate contract and contractor performance, recommending improvements to enhance efficiency, resource utilization, and project outcomes;
- Execute contract closure processes accurately and on time.
Procurement Data Governance Management
- Establish and oversee procurement data governance frameworks to ensure data integrity, consistency, and compliance across procurement systems and reporting tools;
- Drive continuous improvement in data quality to support strategic decision-making and performance tracking.
Tender Committee Secretariat Role
- Serve as the secretariat for Gentari's Tender Committee, managing meeting coordination, documentation, and decision tracking;
- Ensure timely and accurate preparation of tender submissions and maintain records to support audit and governance requirements.
Risk, Compliance & Sustainability
- Analyse and execute risk assessments, mitigation plans, and compliance tracking;
- Assist in initiatives to integrate sustainability into procurement practices and ensure adherence to governance standards.
Financial & Performance Support
- Gather, analyse, and report procurement spend, cost savings, and performance metrics;
- Analyze and report on procurement performance, including cost savings & sustainability impacts.
Capability Development
- Continuously enhance procurement and contract management expertise through hands-on execution, analysis, and project experience;
- Proactively seek guidance and best practices to strengthen skills, improve execution, and deliver high-quality outcomes.
Requirements:
- Bachelor's degree in Business, Supply Chain Management, Engineering, Quantity Surveying or related field;
- Minimum 5 years of relevant experience in procurement, sourcing, or contract management;
- Demonstrated experience in contributing to the development and execution of procurement strategies. Experience in process-based capital projects and its associated key categories is an advantage;
- Proven proficiency in procurement and contract management, with hands-on experience executing frameworks, applying tools, and recommending improvements;
- Working knowledge of regulatory requirements, industry standards, and best practices in procurement and inventory management;
- Proficiency with procurement tools, digital platforms, and reporting systems;
- Strong analytical, communication, negotiation, and stakeholder engagement skills;
- Ability to manage multiple priorities and work independently in a fast-paced environment.
