Job Description
I. Administrative Support:
a. Prepare and distribute meeting agendas, take minutes, and follow up on action items.
b. Maintain and organize electronic and paper files, ensuring easy access to information.
c. Assist with the preparation of reports, presentations, and other documents as needed.
II. Event Planning Support:
a. Assist in the planning and execution of various events, including conferences, seminars, workshops, and promotional events.
b. Coordinate logistics for events, such as venue booking, catering, transportation, and accommodation.
c. Manage event registrations and attendee communication.
d. Prepare event materials, including name tags, handouts, and promotional items.
e. Provide on-site support during events, ensuring smooth operations and attendee satisfaction.
f. Assist in post-event evaluation and reporting.
III. Marketing Support:
a. Assist in the implementation of marketing campaigns and initiatives.
b. Manage and update marketing databases and mailing lists.
c. Conduct market research and gather data to support marketing strategies.
d. Monitor and report on the effectiveness of marketing campaigns. e. Assist in the creation of marketing materials, such as brochures, flyers, and social media content.
f. Manage social media accounts, including scheduling posts and engaging with followers.
IV. Financial Administration:
a. Process invoices and payments related to event and marketing activities.
b. Track expenses and maintain budget records.
c. Prepare expenses reports.
d. Assist in the preparation of event budgets and financial forecasts.
V. Vendor and Supplier Management:
a. Liaise with vendors and suppliers to obtain quotes and negotiate contracts.
b. Manage vendor relationships and ensure timely delivery of services and products.
c. Maintain a database of approved vendors and suppliers.
VI. Other Duties:
a. Perform other duties as assigned by the Managing Director.
