About the Job
We are seeking a proactive professional to oversee project initiatives across Group IT and to be based in Malaysia. This role is responsible for supporting governance execution, delivering high-quality reporting, and enabling effective portfolio tracking aligned to business objectives.
This role focuses on ensuring transparency, consistency, and data integrity across the project portfolio, while providing insights to support decision-making and ensuring that expected business benefits are tracked and reported effectively.
Governance & Compliance
- Support the implementation and ongoing maintenance of PMO governance frameworks, standards, and policies to ensure consistency and compliance across the portfolio
- Support the execution of governance structures, stage gates, and approval processes
- Ensure projects adhere to internal policies, audit requirements, and regulatory standards
- Perform project health checks and governance reviews, highlighting gaps and areas for improvement
- Maintain proper documentation and audit trails to support compliance requirements
- Provide guidance to project teams on PMO templates, tools, and governance processes
- Escalate non-compliance or governance issues to PMO leadership for resolution
Reporting & Insights
- Prepare accurate, timely, and insightful reporting to support portfolio monitoring and decision-making
- Develop and maintain standardized reporting packs for management and governance forums
- Produce dashboards covering financials, timelines, risks, issues, and benefits tracking
- Translate data into clear summaries and key observations for stakeholders
- Perform basic trend and variance analysis to highlight deviations and potential risks
- Support enhancements to reporting processes and tools to improve efficiency and clarity
- Ensure consistency and alignment of reporting across projects
Portfolio & Project Tracking
- Support effective tracking and monitoring of project and portfolio performance
- Track project progress across scope, schedule, cost, risks, and issues
- Monitor performance against approved baselines and flag deviations
- Maintain and update centralized portfolio data to ensure accuracy and completeness
- Track interdependencies across projects and highlight potential risks
- Support project lifecycle processes, including initiation, execution, and closure
- Assist in portfolio reporting and prioritization activities as required
Benefits Management & Reporting
- Define, track, and report on expected and realized benefits of initiatives across the portfolio
- Partner with business stakeholders to establish clear, measurable benefit KPIs during business case development
- Track benefits realization against approved targets throughout project and post-implementation phases
- Produce benefits realization reports and dashboards for senior leadership and governance forums
- Highlight gaps, risks, or delays in benefit delivery and recommend corrective actions
- Ensure alignment between project outcomes and strategic business value
Stakeholder Engagement
- Support effective communication and coordination across stakeholders
- Work closely with project teams, business stakeholders, and PMO leadership
- Support the preparation and facilitation of governance meetings and forums
- Ensure timely and accurate communication of project and portfolio status
- Assist in managing stakeholder expectations by providing relevant updates and information
- Escalate key risks and issues to appropriate stakeholders where required
Continuous Improvement
- Contribute to the enhancement of PMO processes and practices
- Identify opportunities to improve reporting, tracking, and governance processes
- Support implementation of process improvements and standardization initiatives
- Contribute to improving data quality and reporting accuracy
- Assist in adoption of new tools, templates, and methodologies
- Capture lessons learned to support continuous improvement efforts
Support Special Projects
- Provide support for strategic and ad hoc initiatives as required
- Assist in analysis, reporting, and coordination for special projects
- Support preparation of presentations and materials for senior leadership
- Contribute to data gathering and insights for decision-making
- Provide coordination support for cross-functional initiatives
We are looking for people with
- 4–7 years in PMO, project management, business analysis, or financial analysis
- Bachelor's degree in relevant discipline
- Prior experience in financial services and in working with regulators such as MAS and BNM
- Proficiency in JIRA, Excel, PowerPoint, Power BI
- Ability to interpret data and provide structured insights
- Good stakeholder engagement and communication skills
- Strong team player with attention to detail, resilience under pressure and an adaptable and resourceful mindset.
- Ability to work autonomously and effectively in a fast-paced, dynamic environment and manage multiple priorities
