Job Description
Job Summary
· To assist and support the Leasing Manager by propose leasing plan or effort shown to improve on overall Mall's occupancy according to company's direction.
· To have the initiative to handle, monitor day-to-day leasing relevant matter including liaison with panel solicitors for pending cases, issue with DCS integration set-up, renewal cases and formalize relevant letters and agreement.
· To have good time management to prioritize urgent and important tasks.
· Cultivate and maintain good relationships with all tenants.
Duties and Responsibility
· To assist Leasing Manager in conceptualization of leasing plan, organizing and monitoring for the effective implementation of the leasing plan and strategies to achieve the targeted occupancy
· To handle tenancy negotiations for leasing enquiries/registrations, new tenancies, renewals or termination of tenancy for approval, recommend terms and conditions as per the leasing plan and budget, and formalize letters of offer and agreements.
· To prepare all leasing and tenancy proposals and renewals forms i.e. Tenancy Proposal Approval Form, Letter of Offers and License Agreement for Short Term leases. To administer and ensure adherence to lease terms and conditions by Landlord and tenants.
· To monitor and analyze tenants sales and overall performance and recommend measures for improvement.
· To comment for tenant's conceptual drawing for pop-up store
· To coordinate for the fit out drawing submission by tenant for ready lots • To attend to pre-opening inspection as part of fit-out committee.
· To prepare correspondences and reports.
· To constantly and proactively look out for new prospects, the latest retail concepts/brands/products & services and to continuously review the tenant mix to ensure relevancy and good fit with prevailing market conditions and leasing plan.
· To ensure that all documentations per Tenancy Agreements are fulfilled by the tenants prior to trading commencement / cessation of trading upon expiry in compliance with Leasing SOP and assist tenants (where necessary) in applications/approvals from relevant licenses by providing necessary documentations and advices.
· Establish and maintain good landlord-tenant relationship.
· To initiate discussions with low performing tenants and recommend measures to reduce overall occupancy cost.
· To assist in space planning management initiatives.
· Update leasing plan, profiles and reports for properties.
· To assist in coordination with project department and fit out department i.e. providing updated leasing plan, and tenants M&E requirements.
· To attend to tenant's lease related issues i.e. request for rent rebate, lease termination, etc.
· To take action against the non-compliance tenant(s) according to the Mall's Rules &
· Regulations
· Collection of deposits and other charges prior to handover for fit-out.
· To go through the weekly status report prepared by solicitors and DCS and attend to those problematic cases
· To check and verify accuracy of tenancy terms in draft Tenancy Agreement for Leasing Manager's final verification.
· Conduct market research on shopping centers in order to keep abreast of retail property development in the market.
· To assist with managing and guide Leasing Executives.
· Undertaking any other assignment deems fit from time to time as assigned by Superior.
Position Requirements
1. Qualifications: Minimum Degree in Business Administration/Marketing/Real Estate Management or equivalent.
2. Experience: At least 5 years experiences with property sales and marketing environment, especially in the leasing of retail lots or in similar capacity in Shopping Centre or Retail Industry.
3. Skills / Competencies:
· Computer literate with strong proficiency in Microsoft Excel and PowerPoint;
· Efficient, responsible, independent, accurate with details.
· Sound working knowledge of legal issues pertaining to tenancy agreements, trademarks, franchising and intellectual property rights.
· Possess strong analytical, interpersonal and negotiation skills.
· Self-motivated, all-rounder with good organizational skills and able to work under pressure.
· Self-discipline, able to complete tasks within reasonable time
