Job Description

What the role is

The Singapore Tourism Board (STB) is a statutory board under the Ministry of Trade and Industry (MTI) of Singapore. The STB KL office is part of the Board's network of overseas offices within the larger International Group. Key activities of the Malaysia office include marketing and promoting Singapore as a preferred business and leisure destination for travellers from Malaysia, Cambodia and Brunei, in collaboration with travel and media partners. The scope of work for this role will primarily involve financial operations, HR and office administration for the Malaysia office, as well as marketing and trade partnerships with leisure trade across the various markets of coverage.

What you will be working on

As part of the team, key responsibilities include:

Finance

  • Oversee all financial operations for the office
  • Manage invoices, payments, payroll, and claims
  • Deliver timely payments to various vendors and/or partners
  • Manage local bank account in Malaysia.
  • Coordinate with HQ Finance to manage and resolve tax matters, troubleshoot and streamline processes on staff Intranet portal
  • Oversee budget planning and administration with the Area Director to monitor and optimise budget utilisation by the team

Office Administration

  • Manage & monitor office contracts for the Singapore Centre KL - Office lease, rental of various hardware and equipment, office insurance, office supplies
  • Conduct procurement for all office administration services
  • Oversee the service delivery of vendors to ensure smooth office operations
  • Liaison with stakeholders such as building and facilities management, and any tenant(s) of Singapore Centre KL to align on office management and operations

Human Resources

  • Office representative/Expatriate pass application for posted staff from Singapore
  • Managing staff welfare activities
  • Managing procurement and renewal of various HR-related vendors e.g. insurers, payroll agent

Marketing and Trade Partnerships

  • In this role, other projects may be assigned such as partnerships with local travel agents to increase awareness of destination Singapore and drive incremental visitor arrivals to Singapore.

Other projects: Officer may be required to undertake other duties and projects as assigned from time to time or have a change in portfolio due to a dynamic operating environment and as part of personal career development.

What we are looking for

  • Able to demonstrate core competencies of achieving results with others, analytical thinking, business acumen, project management, stakeholder management & relationship building, results orientation
  • At least 3 years of related experience in a finance and/or administration role. Good-to-have: Experience in travel/tourism/hospitality and marketing
  • Strong written and verbal communication skills in English and Bahasa Melayu.
  • Ability to coordinate multiple projects simultaneously, with attention to detail and meeting deadlines.
  • Comfortable in a fast-moving environment, collaborative and team-oriented in working effectively with cross-functional teams and business units in STB HQ (Singapore)
  • Eager to take on responsibilities, learn on the job, and adapt to a fast-paced environment.
  • Willingness to travel occasionally for work
