Assistant Project Manager

Responsibilities

Commercial Management

• Ensure project expenses and costs are reviewed and approved by the Project Manager and the Projects & Operations Director, ensuring compliance with approved budgets.
• Develop and manage project budgets to ensure efficient cost management.
• Create and manage cash flow templates based on projects, anticipating client payment terms vs. supplier/sub-contractor payment terms.
• Oversee timely invoicing to ensure cash flow aligns with project requirements.

Project Planning and Coordination

• Assist in creating detailed project plans, schedules, and timelines.
• Coordinate with internal teams, clients, and vendors to ensure alignment on project goals.
• Support the procurement and allocation of resources.

Execution and Monitoring

• Monitor project progress and ensure adherence to the schedule and budget.
• Track project deliverables, identify risks, and propose solutions to mitigate them.
• Prepare and update project reports and documentation.

Team Collaboration

• Act as a liaison between stakeholders, team members, and external partners to maintain effective communication.
• Facilitate meetings, prepare agendas, and follow up on action items.
• Support team members in resolving technical and operational challenges.

Quality Assurance

• Ensure project deliverables meet quality standards and specifications.
• Conduct regular site visits, inspections, or audits to verify project compliance.

Administrative Support

• Maintain accurate project documentation, including contracts, invoices, and correspondence.
• Support budget tracking and financial reporting.

Compliance and Safety

• Ensure compliance with all applicable laws, regulations, and company policies.
• Promote a culture of safety and quality throughout the project lifecycle.

Skills and Qualifications

• Bachelor's degree in Business Administration, Project Management, Engineering, Construction Management, or a related field.
• 3-5 years of proven experience in project management or related roles.
• Proficiency in project management tools.
• Strong knowledge of budget management, cost control, and cash flow analysis.
• Excellent communication and interpersonal skills to liaise with stakeholders, teams, and vendors.
• Strong analytical and problem-solving abilities for risk management and process improvement.
• Detail-oriented with a commitment to compliance, safety, and quality standards.
