Job Description

We are seeking a detail-oriented and operationally strong Associate / Senior Associate, Learning Administration & HRDC Operations to anchor the administrative engine of Taylor's Learning Academy (TLA). This role is the operational backbone of TLA's learning ecosystem, responsible for the precise day-to-day management of the Cornerstone OnDemand (CSOD) Learning Management System and the end-to-end processing and compliance of all HRD Corp (HRDC) grant claims and submissions.

The ideal candidate brings meticulous attention to detail, a strong grasp of HRDC regulatory requirements and e-TRiS workflows, and hands-on CSOD administration experience. You will work closely with the L&D strategy team, Finance, and external training vendors to ensure flawless claim execution, audit-ready documentation, and a well-configured, reliably functioning LMS that supports organisational-wide learning delivery.

KEY RESPONSIBILITIES OVERVIEW

1. CSOD LMS Administration

Manages end-to-end LMS operations including user provisioning, organisational structure, role-based access, enrolments, and course catalogue maintenance. Oversees content configuration (e-learning, ILT, curricula), third-party integrations (e.g., LinkedIn Learning, Coursera, DataCamp), and digital badging. Ensures data accuracy through reporting, dashboards, and regular audits while supporting system enhancements, troubleshooting, and vendor coordination.

2. HRDC Claims & Compliance

Leads the full lifecycle of HRDC claims, including pre-approval applications, documentation collection, and reimbursement submissions via e-TRiS. Ensures compliance with HRDC policies by validating vendor and trainer eligibility, maintaining SOPs, and preparing audit-ready documentation. Tracks claim status, manages levy utilisation, supports financial reconciliation, and advises on optimisation strategies. Also supports microcredential and special grant programme requirements.

3. Learning Operations & Stakeholder Coordination

Coordinates end-to-end training delivery, including scheduling, logistics, communications, attendance tracking, and feedback collection. Acts as the main point of contact for LMS and training-related queries, supports onboarding into learning platforms, and maintains the L&D programme calendar. Works closely with internal teams, vendors, and IT to ensure smooth execution and timely issue resolution.

DESIRED EXPERIENCES

  • Bachelor's degree in Human Resources, Business Administration, or a related field, with a minimum of 3–5 years of relevant experience in learning administration and/or HRD Corp claims management.
  • Demonstrated hands-on experience administering the Cornerstone OnDemand (CSOD) LMS, including user management, catalogue configuration, reporting, and content upload — CSOD experience is non-negotiable.
  • Proven working knowledge of HRD Corp (HRDC) processes, specifically the e-TRiS system, SBL-Khas employer grant claims, and vendor/trainer eligibility requirements.
  • Experience developing and maintaining SOPs for HRDC or other HR compliance-related processes; familiarity with audit readiness requirements for levy-funded programmes is highly advantageous.
  • Strong proficiency in Microsoft Excel or similar tools for tracker management, data reconciliation, and reporting; experience with Power BI or equivalent dashboards is an added advantage.
  • Highly organised, process-driven, and detail-oriented, with the ability to manage multiple concurrent claims, deadlines, and administrative workflows without compromising accuracy.
  • Strong written and verbal communication skills in English and Bahasa Malaysia; able to liaise professionally with internal stakeholders, external vendors, and HRD Corp officers.
  • Experience working in a higher education, professional services, or large corporate L&D function is preferred.
