Job Summary
We are looking for a Brand Admin Executive to support the LUXE division through effective administrative, reporting, and operational coordination. This role plays a key part in supporting brand activities, market operations, and day-to-day brand management to enhance productivity and drive the growth of the cluster team.
Key Responsibilities
- Set up, maintain, and manage extensive spreadsheets using Microsoft Excel, including pivot tables, data analysis, and review of large data sets
- Prepare and maintain monthly Base Sell-Out and related brand reports
- Raise Sales Conditions and follow up on approval (PM to upload)
- Prepare SPECIAL DISCOUNT AGREEMENT and FINANCIAL DEAL REQUEST documentation (PM to upload)
- Prepare PPM pricing documentation (PM to upload)
- Raise Purchase Orders (PO) in MY Market and follow up on approvals
- Liaise with vendors on quotations and invoices, and manage YFAP and GRIR
- Process market returns
- Manage, monitor, and track shipments for PLV, VM, and related materials
- Support Sephora-related operations, including planogram uploads and sample code creation in Sephora systems
- Consolidate and monitor DS rebate vouchers (Singapore market)
- Handle DS.com retailer uploads for new launches and housekeeping activities (Singapore market)
- Provide general Brand Cluster administrative support as required
Required Skills, Experience & Competencies
- Proficient in Microsoft Office, especially Excel (templates, formulas, functions such as SUMIF, COUNTIF, VLOOKUP, Pivot Tables)
- Strong general administrative and secretarial skills
- Good communication and interpersonal skills with the ability to work with internal and external stakeholders
- Able to operate strategically, manage multiple tasks, and deliver results
- Capable of working independently and collaboratively within a team
- Proactive, detail-oriented, and well-organised
