About The Role
The Building Executive will support CBRE GWS Malaysia in managing one leased office space and one site building located in Petaling Jaya. This role is responsible for daily facilities operations, maintenance oversight, regulatory compliance, and coordination with internal stakeholders, building management, and service providers. The position requires hands-on technical competency, strong communication skills, and the ability to lead a small site team effectively.
What You'll Do
- Oversee, troubleshoot, and supervise all M&E systems, including HVAC, electrical, plumbing, fire protection, security systems, and general building upkeep.
- Conduct routine inspections and ensure timely rectification of defects.
- Lead and support CBRE's on-site team consisting of 1 technician and 1 receptionist.
- Provide daily work instructions, performance oversight, and support for task execution.
- Coordinate manpower resources for planned and unplanned activities.
- Lead weekly and monthly operational meetings using predefined templates and agendas from Bosch and CBRE.
- Prepare facility performance reports, contractor service reports, incident logs, and improvement updates.
- Manage CBRE-assigned contractors for PPM, corrective maintenance, and statutory inspections.
- Ensure all routine and scheduled services provided by Bosch are completed satisfactorily and documented.
- Verify service reports, track outstanding issues, and close service tickets promptly.
- Manage all KL office lease-related matters and coordinate issues with the building management team.
- Follow-up on building maintenance requests, security access, renovation permits, lift reservations, and emergency response protocols.
- Oversee site security systems including access control, CCTV monitoring, and visitor management.
- Work with security personnel to uphold safety and protection of facilities and staff.
- Manage site operations within allocated budgets.
- Assist in preparing OPEX/maintenance cost forecasts, tracking expenses, and optimizing resources.
- Ensure full compliance with Malaysian statutory regulations such as DOSH, Bomba, Suruhanjaya Tenaga, and local council requirements.
- Ensure safe work practices during maintenance and contractor activities.
What You'll Need
- Diploma or Degree in Mechanical, Electrical, Building Services, Facilities Management, or related field.
- Chargeman certification is an advantage but not mandatory.
- Knowledge of Malaysian regulatory requirements related to building operations.
- 5 years of experience in facilities management, building operations, or M&E supervision.
- Experience managing office spaces, technical teams, and contractors.
- Experience with multinational companies or service providers is an added advantage.
- Hands-on technical troubleshooting experience preferred.
- Strong technical understanding of building M&E systems.
- Good leadership and coordination skills.
- Excellent communication and stakeholder management abilities.
- Proficient in report writing, scheduling, and follow-up.
- Ability to read technical drawings and M&E documentation.
- Problem-solving mindset and ability to work independently.
- Strong IT literacy (Microsoft Office, CAFM systems, BMS monitoring).
