Job Description

About Us

Integrated Assessment Services is an international organization providing certification, training, and testing services to businesses across a range of industries. With operations across Indonesia, Malaysia, Singapore, India, the UAE, Australia, and the USA, we help organizations meet certification, compliance, and international standards requirements through reliable and professional services.

Role Description

We are hiring two Business Operations & Client Relations Executives, one based in Malaysia and one in Jakarta, Indonesia. Both roles coordinate audits for clients across Malaysia, Singapore, Indonesia, Australia, and other Asian countries. These are full-time, on-site roles reporting to our Malaysia Head Office.

You will schedule and coordinate audits across the region, make sure each audit runs smoothly from start to finish, and collect payment once the audit is completed. You will also handle test sample logistics, keep in daily contact with clients, act on their feedback, and support day-to-day office operations.

For the Malaysia position, the company will sponsor the work visa (Employment Pass) for international candidates.

Key Responsibilities

Regional Audit Coordination & Payment Collection

  • Schedule and confirm audit dates with clients and assigned auditors in Malaysia, Singapore, Indonesia, Australia, and other Asian countries.
  • Coordinate between clients and auditors before, during, and after each audit so that audits run smoothly and on time.
  • Manage audit schedules across multiple countries and time zones, and avoid clashes in auditor availability.
  • Make sure clients are prepared for audits: confirm documents, site access, attendees, and logistics in advance.
  • Follow up on post-audit requirements, including corrective actions and pending documents.
  • Collect payment from clients once the audit is completed, and coordinate invoices and receipts with the accounts team.
  • Follow up promptly on outstanding payments and keep payment status up to date.

Testing & Sample Logistics

  • Arrange the collection of test samples from clients and courier them to the testing laboratory, including cross-border shipments.
  • Coordinate with clients and the lab on sample requirements, shipment tracking, delivery, and test report status.
  • Keep clients informed of testing progress and report timelines.

Client Relations & Feedback

  • Act as a point of contact for clients, auditors, agents, and partners across the region.
  • Contact clients daily by phone, email, and messaging on ongoing audits, testing, and training activities.
  • Collect client feedback regularly and work with internal teams to resolve issues quickly.
  • Meet clients at the office and visit client premises when required to explain our certification, training, and testing processes.
  • Build and maintain long-term professional relationships with clients and business partners.
  • Track client requests and pending activities, and resolve or escalate issues promptly.
  • Support business development and follow up with prospective and existing clients.

Office Administration & Support

  • Handle day-to-day office administration, including correspondence, filing, courier arrangements, office supplies, and vendor coordination.
  • Coordinate quotations, invoices, supporting documents, and basic accounts matters.
  • Maintain employee records, attendance, leave records, and other office documentation.
  • Assist with training coordination, including participant registration, schedules, venues, materials, and certificates.
  • Support recruitment when required, including job postings, screening, interview coordination, and onboarding documents.
  • Prepare regular reports for management on audits, payments, client activities, and operational matters.

Qualifications (Both Positions)

  • Diploma or Bachelor's degree in Business Administration, Management, Human Resources, or a related field.
  • Minimum 2 years of experience in business operations, client servicing, account coordination, office administration, or a related role.
  • Experience coordinating audits, inspections, certification, or testing activities is a strong advantage.
  • Experience working with clients in multiple countries is an advantage.
  • Comfortable following up with clients on payments and outstanding requirements.
  • Strong client servicing and relationship-building skills.
  • Strong organizational and follow-up skills, with the ability to manage multiple audits, shipments, and client requests across countries at once.
  • Confident meeting clients face-to-face and explaining service processes and requirements.
  • Good working knowledge of Microsoft Office and Google Workspace; CRM experience is an advantage.
  • Able to work independently while collaborating with teams across locations.
  • Flexible to occasionally communicate outside standard hours to accommodate time-zone differences (e.g., Australia).
  • Experience with recruitment, onboarding, or HR administration is an advantage.
  • Willing to travel locally, and regionally when required.

Location-Specific Requirements

Malaysia Position (Visa Sponsorship Provided)

  • On-site full time at our Malaysia Head Office.
  • Open to Malaysian and international candidates. The company will sponsor the work visa (Employment Pass) for the successful candidate who is not Malaysian.
  • Fluent in English, both written and spoken. Bahasa Malaysia or Bahasa Indonesia is an advantage.
  • Willing to relocate to Malaysia if not already based there.

Jakarta Position

  • Based in Jakarta and available to work on-site full time at our Jakarta office.
  • Fluent in Bahasa Indonesia and English, both written and spoken.
