Job Description

JOB SUMMARY:

Responsible for end-to-end payroll operations for the Group, with strong hands-on execution using the Infotech Payroll / HRIS system and in charge of Employee Relations, Compensation & Benefits, Rewards Administration, as well as leading the implementation of HCA SOPs, HR policies and the Employee Handbook.

The role ensures payroll accuracy, statutory compliance, data integrity, audit readiness and the consistent application of HR policies, in accordance with Company requirements, KPIs and applicable labor and statutory regulations.

KEY RESPONSIBILITIES:

1.Payroll Operations (Hands-on)

  • Execute end-to-end monthly payroll processing using the Infotech payroll system, including salary, allowances, overtime, deductions, bonuses and adjustments.
  • Ensure payroll accuracy of not less than 99.5% and payroll input accuracy of not less than 98%
  • Perform payroll validation checks, variance analysis and post-payroll reconciliation.
  • Ensure timely payroll processing and salary disbursement in accordance with payroll calendars.

2.Payroll System & HRIS Management (Infotech - Mandatory)

  • Act as the primary payroll system user for the Infotech Payroll / HRIS system.
  • Maintain payroll master data, statutory configurations and system controls.
  • Generate payroll reports and troubleshoot system or payroll-related issues.
  • Ensure data integrity, confidentiality and compliance within the payroll system.

3.Statutory & Regulatory Compliance

  • Ensure full compliance with statutory requirements including EPF, SOCSO, EIS, PCB, LHDN, Form E and EA submissions.
  • Liaise with statutory bodies on payroll-related matters.
  • Monitor legislative changes and implement necessary payroll updates.

4.Benefits & Insurance Administration

  • Administer Group medical, insurance and employee benefits.
  • Manage enrolment, deletion, coverage updates and claims coordination.
  • Reconcile insurance invoices and ensure benefits data accuracy.

5.Payroll Governance, Audit & Reporting

  • Support internal, external and statutory payroll audits, including preparation of required documentation, schedules, reconciliations and audit trails.
  • Ensure proper payroll documentation and compliance with governance and control requirements.
  • Propose ways in strengthening payroll internal controls and risk mitigation measures.
  • In charge of preparing payroll cost analysis, headcount reports, statutory summaries and management reports.
  • Support manpower budgeting, payroll cost monitoring and cost analysis exercises.

6.Rewards, Increment & Bonus Administration

  • In charge of increment and bonus exercises.
  • Ensure approved salary revisions, bonuses and rewards are accurately reflected in payroll and statutory records.
  • Maintain documentation and audit trails for all rewards and compensation activities.

7.SOP, Policy & Employee Handbook

  • In charge of drafting, reviewing, updating and implementing respective HR policies, payroll SOPs, C&B guidelines and Employee Handbook provisions.
  • Ensure policies and SOPs are legally compliant, practical and consistently applied.
  • Maintain version control and proper documentation of all policy and handbook updates.

8.Employee Relations

  • In charge of handling employee queries, feedback and execution of staff engagement program.
  • Provide guidance and clarification to employees and management in accordance with Company policies and applicable employment laws.
  • Ensure proper documentation, follow-up and closure of all employee relations cases in line with Company procedures.

9.Ad-hoc duties

  • Perform ad-hoc payroll or other duties as assigned by Management.

REQUIREMENTS:

  1. Degree in Human Resource Management, Accounting, Finance or equivalent.
  2. Minimum 10 years of hands-on experience in payroll operations.
  3. Mandatory hands-on experience using Infotech Payroll / HRIS system.
  4. Strong knowledge of Malaysian employment and statutory laws.
  5. Strong proficiency in Microsoft Excel and payroll reporting.
  6. High integrity and confidentiality.
  7. Strong attention to detail and ability to meet deadlines.
  8. Able to work independently with minimal supervisions.
