Role Description

We are seeking a highly organised and execution-driven Executive Assistant / Secretary to work directly with senior management on capital, investment, and project-related matters. This role is suited for someone who is proactive, detail-oriented, and comfortable supporting fast-moving business and deal workflows.

This is a hands-on role focused on meeting coordination, follow-ups, documentation, and execution support.

Coordinate meetings, calendars, and business arrangements with clients, investors, banks, and partners

Key Responsibilities

  • Attend meetings to take notes, track action items, and ensure follow-through
  • Track deal and client progress from pitch to agreement execution
  • Follow up with clients and counterparties to drive timely responses and decisions
  • Prepare, send, and manage agreements using approved templates
  • Coordinate agreement feedback between clients and legal advisors
  • Track claims and expenses, prepare claim forms, and liaise with finance
  • Maintain organised records, trackers, and documentation across all matters

Requirements

  • Diploma or Degree in Business, Finance, Administration, or related fields
  • 13 years of experience as an Executive Assistant, PA, Project Executive, or similar role
  • Strong organisational skills with high attention to detail
  • Comfortable dealing with clients, senior stakeholders, and external parties
  • Good written and verbal communication skills (English required; Mandarin is a plus)
  • Proficient in Microsoft Office / Google Workspace
  • Able to work independently, prioritise tasks, and follow through without constant supervision
