About The Role

Executive Assistant (The Exchange TRX)

We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative and executive support in a fastpaced corporate environment. In this role, you will support 4 members of the Leadership Team ensuring seamless coordination of their daytoday operations and strategic activities.

Executive Support

  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare reports, presentations, and correspondence for internal and external stakeholders.
  • Handle confidential information with discretion.

Centre Operations & Office Management


  • Oversee office supplies, equipment maintenance, and facility management.
  • Ensure compliance with health, safety, and security standards within the centre.
  • Act as the main point of contact for tenants, vendors, and service providers.

Contractor & Vendor Management


  • Coordinate contractor onboarding, compliance checks, and documentation.
  • Monitor service contracts, timelines, and performance standards.
  • Liaise with vendors for maintenance, repairs, and operational requirements.

Project Coordination


  • Assist in planning and execution of centre-related projects and initiatives.
  • Track project timelines, budgets, and deliverables.
  • Prepare project documentation and reports for management review.

Administrative & Financial Support


  • Process purchase orders, invoices, and expense claims accurately.
  • Maintain records of contracts, agreements, and operational documents.
  • Assist in travel management for CMO & FMO team, ensure compliance with company travel policy
  • Support budget tracking and cost control measures.

About You


  • Diploma or Bachelor's degree in Business Administration or related field.
  • Minimum 23 years of experience in administrative or executive support roles.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency in MS Office Suite and familiarity with ERP systems.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and manage multiple priorities.
