Job Brief
Oversee the Business Centre's operations, services, financial coordination, reporting, continuous improvements and providing comprehensive support to the team.
Job Accountabilities
- Oversee and manage the overall day-to-day operations of the Business Centre, including meeting rooms, business lounges, discussion rooms, multi-purpose hall, dining area and shared office facilities at Level 7, 8 and 9 of Mercu UEM, ensuring smooth, efficient, and professional service delivery.
- Supervise, guide and support Business Centre Assistant(s), including task allocation, work coordination, and on-the-job guidance. Ensure all Business Centre facilities, meeting rooms and shared areas are maintained in a clean, presentable and fully functional condition. Provide hands-on assistance and perform general duties of the Business Centre Assistant during peak periods, staff absence or as required.
- Review and manage bookings, scheduling, utilization and availability of Business Centre facilities. Prepare quotations for Business Centre usage and services (chargeable facilities) and any additional services. Provide all relevant supporting documents and information to Finance for invoice issuance.
- Coordinate closely with Building Operations, Technical teams, cleaning contractors, IT support and other service providers to resolve issues promptly. Act as the main point of contact for tenants and external users on Business Centre matters, including escalated enquiries or complaints.
- Review quotations from vendors or service providers for additional Business Centre services and coordinate approval as required. Process and verify expense invoices related to Business Centre operations and submit them for management approval prior to Finance payment processing.
- Prepare and consolidate operational, monthly utilization, revenue collection and issue reports for management review. Identify opportunities to improve space utilization, service quality, procedures and tenant or user experience, and recommend appropriate solutions. Prepare Management Papers for approval on operational enhancements, asset requisition and disposal, as well as the periodic review and revision of meeting and multipurpose hall rental rates.
- Manage all visitors/guests/tenants attending meetings at Business Centre. To coordinate with event owner in managing large crowds during event at the multi-purpose hall on direction for entering Level 7 and lift coordination for attendees (guest and VIPs) including managing external vendors and caterers (registration and security deposit).
- Ensure compliance with Business Centre rules, SOPs, safety requirements and service standard. Liaise with Building Management if there are issues related to safety and security in the business centre area.
Requirement
- Diploma or Degree in Business Administration, Hospitality, or equivalent, or commensurate level of relevant working experience.
