Job Description
JOB SUMMARY
Support the planning, coordination, implementation and governance of official events, internal engagement programmes and corporate initiatives that strengthen organisational culture and advance EPF's strategic objectives. The role is responsible for event and programme management, stakeholder coordination, procurement, vendor management, budgeting, governance and reporting, while contributing to cross-functional initiatives that enhance employee engagement and deliver high-quality experiences for Management, employees and stakeholders.
JOB RESPONSIBILITIES
- Plan, coordinate and implement official events, internal engagement programmes and corporate activities from inception to completion, ensuring delivery within approved scope, timeline and budget.
- Design and develop event concepts, implementation plans and programme roadmaps that support EPF's strategic priorities and organisational objectives.
- Develop concept papers, event proposals, approval papers, implementation checklists, programme schedules and other supporting documentation in compliance with EPF's governance, procurement and approval frameworks.
- Coordinate all event requirements, including venue bookings, logistics, audiovisual support, technical arrangements, security, protocol, hospitality and other operational requirements to ensure seamless programme delivery.
- Conduct site visits, rehearsals, post-event evaluations and lessons learnt exercises to assess programme effectiveness and drive continuous improvement.
- Plan and implement internal engagement programmes, employee appreciation initiatives, organisational celebrations and internal communication activities that foster employee engagement and strengthen organisational culture.
- Collaborate with internal departments, Management, vendors and other stakeholders to ensure effective coordination, consistent communication and successful programme delivery.
- Manage invitations, attendance confirmations, protocol arrangements and stakeholder engagement for official events involving senior management, VIPs and external guests.
- Coordinate procurement activities by preparing scopes of work, technical specifications, cost estimates, procurement documentation and vendor evaluations in accordance with EPF's procurement policies and procedures.
- Manage vendor appointments and contract implementation by monitoring service delivery, quality, cost and timelines to ensure contractual obligations and programme requirements are met.
- Prepare reports, presentations, cost analyses, programme documentation and management updates to support decision-making and programme evaluation.
- Support the planning and management of the Unit's annual operating budget by monitoring programme expenditure, optimising budget utilisation and ensuring the prudent and efficient use of resources.
- Maintain complete, accurate and well-organised programme records and documentation to support governance, audit and operational requirements.
- Collaborate with other units and sections within the Department to support cross-functional initiatives, special projects and organisational priorities, providing operational expertise where required.
SKILLS & QUALIFICATIONS
- Malaysian citizen
- Passed the Malay Language (including oral test) at Sijil Pelajaran Malaysia (SPM) level.
- Bachelor Degree (Honours) recognised by the Government from any local or abroad higher learning institution or qualification.
- Minimum 4 - 6 years of experience in the IT field, including experience in a supervisory or leadership position.
- Relevant working experience in event management, corporate communications, internal communications, stakeholder engagement or project management.
- Demonstrated experience in planning, coordinating and delivering official events, corporate programmes or employee engagement initiatives.
- Ability to manage multiple programmes simultaneously while balancing competing priorities and meeting tight deadlines.
- Strong stakeholder management skills with the ability to engage effectively with Management, employees, vendors, government agencies and external partners.
- Good understanding of procurement processes, vendor management and governance requirements.
- Strong planning, organisational and project management skills with excellent attention to detail.
- Strong communication and interpersonal skills, with the ability to communicate effectively in both Bahasa Malaysia and English.
- Demonstrates initiative, adaptability and the ability to perform effectively under pressure.
- Proficient in Microsoft Office applications, particularly PowerPoint, Excel and Word.
