Job Description

Job Summary and Key Objectives

The Executive, People & Culture is responsible for supporting Camfil Malaysia's Talent Acquisition, Learning & Development, Leadership Development and Performance Management activities. The role will coordinate and deliver learning and development initiatives based on business needs and support the implementation and embedding of Camfil's global people and leadership processes within the Malaysia organization. A key responsibility is to translate global initiatives, including Camfil's Global Leadership Model, into relevant local activities and support managers in applying them in their day-to-day leadership.

Key Responsibilities include:

Learning & Development

  • Identify and assess learning and development needs in partnership with managers and based on business, organizational and individual development needs.
  • Coordinate and implement global and regional learning initiatives within Malaysia, adapting delivery to local needs where appropriate.
  • Develop and coordinate local learning initiatives where specific business or competency needs are not covered by global programs.
  • Support managers in identifying appropriate development actions for employees and encourage learning through training, on-the-job development and other development opportunities.
  • Develop and maintain the annual training plan and coordinate training programs, workshops and other learning activities.
  • Monitor participation, effectiveness and feedback from learning activities and recommend improvements where needed.
  • Maintain training records, documentation and KPIs in accordance with company and ISO requirements.
  • Manage training administration, including vendors, training costs and budget follow-up.
  • Manage HRD Corp grant applications, claims and related documentation and monitor available levy balances.
  • Communicate available learning opportunities and resources to employees and managers.

Talent Acquisition

  • Coordinate and support recruitment activities in line with Camfil's global recruitment policies, processes and guidelines.
  • Ensure all vacancy requisitions are initiated and approved through Camfil's global HR Information System (CHRIS) before recruitment begins and that the recruitment process is properly documented in the system.
  • Ensure positions are aligned with Camfil's Global Job Framework and that proposed salary ranges and offers are within the approved salary range and internal guidelines.
  • Partner with the People & Culture Manager and Hiring Managers to clarify recruitment needs, role requirements and candidate profiles.
  • Support the full recruitment process, including sourcing, screening, interview coordination, candidate communication, reference/background checks where applicable, and onboarding.
  • Train and support Hiring Managers in effective interviewing and selection techniques, including structured interviews, competency-based questions, objective candidate assessment and good candidate experience.
  • Promote fair, consistent and professional recruitment practices and support Hiring Managers in making quality, evidence-based selection decisions.
  • Maintain accurate recruitment data and documentation in CHRIS and support relevant recruitment reporting and follow-up.
  • Support internal recruitment, transfers and promotions in accordance with Camfil's global processes and approval requirements.

Leadership Development

  • Support the implementation and embedding of Camfil's Global Leadership Model within the Malaysia organization.
  • Translate global leadership development initiatives into relevant local activities, taking into consideration local business needs, culture and organizational priorities.
  • Coordinate and facilitate leadership development activities, workshops and learning initiatives for managers at different levels of the organization.
  • Work closely with the Manager, People & Culture and business leaders to identify local leadership development needs and connect these to the Global Leadership Model.
  • Support managers in applying the Leadership Model in their day-to-day leadership practices, including performance management, employee development and team leadership.
  • Follow up on participation, feedback and effectiveness of leadership development activities and identify opportunities for continuous improvement.

Performance Management

  • Support the implementation and effective execution of Camfil's Global Performance Management process within the Malaysia organization.
  • Ensure performance management activities are carried out in accordance with global guidelines, processes and timelines.
  • Coordinate and support the annual performance management cycle in CHRIS, including objective setting, performance reviews and required follow-up.
  • Guide and support managers and employees in using CHRIS and understanding the different stages and expectations of the performance management process.
  • Support managers in setting clear and measurable objectives, providing ongoing feedback and conducting meaningful and fair performance discussions.
  • Provide training, communication and practical support to managers to build capability and ensure a consistent and high-quality approach to performance management.
  • Monitor completion and follow up with managers to ensure agreed timelines and requirements are met.
  • Work closely with the Manager, People & Culture and regional/global P&C teams to support continuous improvement and local implementation of global performance management practices.

Internship Coordination

  • Planning/Placing Interns in the right Depts, Coordinate Documents/ Approvals
  • Maintain relationship with universities/ technical schools for young talents
  • Monitor Industrial Trainee's Project Process until completion
  • Maintain Internship tracker accordingly
  • Register industrial trainees with Talent Corp for tax rebate and preparation of summary for finance department verification before tax submission.

HR Support Role

  • Agent of continuous transformation, shaping processes & culture.
  • Oversee daily operations of the HR department
  • Handling all employee enquiries & grievances.
  • Prepare and submit monthly HR KPI reports on Absenteeism, Training, Turnover, and Manpower.
  • Measure employee absenteeism and turnover rates
  • Assist the Manager, People & Culture to work on HR Policies/ Procedures & Organizational Excellence
  • Support the Manager, People & Culture on letter preparation & any ad-hoc work related.
  • Work effectively as a team member with other members of management and the HR staff.
  • Liaise with all government agencies pertaining to HR matters

Support Off-Shore Job Training and Administrations

  • Coordinate all the Training areas for offshore jobs
  • Ensure manpower readiness for offshore jobs based on Petronas/Shell requirements
  • Provide administration support based on N32 needs

Requirements

  • Bachelor's Degree in human resources, business administration or relevant degree qualification from recognised higher educational institution.
  • Minimum 3 years of working experience as an HR Executive in the manufacturing industry
  • Good communication in English and Bahasa Malaysia
  • Good knowledge of MS Office applications
  • Good knowledge of the Malaysian Employment Act & Industrial Relations Act
  • Good knowledge of HRD Corp. grant application and claim submission procedures
  • Good knowledge in HRIS System
  • To perform any other duties as assigned by the superior from time to time.
