Get to know the team:

The Project & Facility Executive is responsible for supporting the execution of new outlet development, upgrading and revamp works for existing grocery retail outlets, and rectification and improvement works at the distribution center (DC). This role involves end-to-end coordination across planning, tendering, budgeting, and construction stages, including close collaboration with consultants, contractors, and internal teams. The role also focuses on effective cost control, risk mitigation, and timely project delivery in line with the companys operational and branding standards.

Key Responsibilities:

1. Project Execution & Site Coordination

  • Assist in managing new outlet setup and fit-out projects from planning to completion.
  • Coordinate upgrading, refurbishment, and space repurposing works for existing outlets.
  • Control and monitor construction progress to ensure alignment with approved drawings, specifications, and timelines.
  • Conduct regular site visits, track progress, and ensure quality compliance.
  • Attend and participate in site meetings with contractors, consultants, landlords, and internal stakeholders.
  • Identify and escalate any potential site risks, delays, or non-compliance.

2. Budgeting & Cost Control

  • Prepare preliminary cost estimates and assist in the development of project budgets.
  • Monitor and control project costs to ensure expenditures remain within approved budgets.
  • Conduct cost data analysis and provide cost tracking reports for management review.
  • Identify cost-saving opportunities and value engineering proposals without compromising quality.

3. Tendering & Procurement Support

  • Support tendering processes by coordinating scope of work, gathering pricing, and conducting initial vendor evaluation.
  • Source and request quotations from qualified vendors and contractors.
  • Assist in vendor negotiation and recommendation for selection.
  • Submit quotation proposals and documents to the Procurement Executive for EPO issuance and contract processing.

4. Risk Management

  • Identify potential construction, design, or cost-related risks and propose mitigation strategies.
  • Ensure timely resolution of technical issues to avoid delays or rework.

5. Liaison & Communication

  • Liaise effectively with architects, engineers, M&E consultants, contractors, suppliers, and local authorities, the landlord representative including their consultants
  • Act as a key liaison with landlord representatives to coordinate approvals, handovers, and compliance matters.
  • Bridge communication between external stakeholders and internal departments (e.g., Operations, Finance, Merchandising, operation, buyer etc).

6. Facility & DC Support

  • Support rectification, maintenance, and upgrading works at the warehouse or distribution centre (DC) when required.
  • Coordinate with facilities teams for technical assessments, repair timelines, and external contractor support.

7. Documentation & Compliance

  • Ensure all project-related documentation (e.g., designs, permits, reports, correspondence) is properly compiled and archived.
  • Monitor site activities to ensure compliance with safety standards, statutory regulations, and company policies.

8. Others

  • To receive and act on any other instructions from the Director, Head of department, Project Manager & senior Project executive from Project department, related departments & finance department of TRENDCELL SDN BHD or any other person so delegated by him.
  • This Job Description will be periodically reviewed and additional duties and responsibilities will be included.

You should have:

  • Bachelors Degree in Engineering, Construction Management, Architecture, Quantity Surveying, or a related field from a reputable university.
  • 35 years of relevant working experience in project management, construction, fit-out, or facility management.
  • Solid understanding of project execution, site coordination, and contractor management.
  • Familiar with budgeting, cost control, tendering, and procurement processes.
  • Good knowledge of safety regulations, statutory requirements, and compliance standards related to construction and facilities.
  • Strong ability to identify risks, problem-solve, and propose effective mitigation strategies.
  • Proven ability to multi-task, manage timelines, and deliver under pressure.
  • Excellent communication and interpersonal skills with the ability to liaise effectively with consultants, contractors, landlords, and internal stakeholders.
  • Proficient in written and spoken English and Bahasa Melayu; Mandarin is an added advantage.
  • Proficient in MS Office applications (Word, Excel, PowerPoint) and preferably project management tools/software (e.g., MS Project, AutoCAD basics).
  • Willing to travel and conduct regular site visits as required.
