Job Description

Job Responsibilities:

Investor Registration

1.Assist in data entry and verification activities related to Investor Registration processing, including but not limited to:

  • Account opening (manual, digital, and other methods introduced from time to time)
  • Client Information File (CIF) and account-related updates
  • Bank account registration
  • Private Pension Administrator (PPA) member registration and nomination
  • Any other related tasks as may be introduced from time to time

2. Perform verification of application forms and supporting documents (acting as a checker) for the activities outlined above, ensuring that all client information is accurately and completely captured in the system.

3. Conduct regular follow-ups on incomplete or outstanding documentation to ensure timely completion and compliance.

4. Assist with system-related tasks and closely monitor system functionality, including liaising with internal Information Systems team to ensure system stability and performance.

5. Liaise with internal IT teams and external system consultants or vendors to ensure system integrity and to support continuous improvement of system efficiency.

6. Ensure proper filing, organisation, and safeguarding of all forms and supporting documentation in accordance with internal policies and regulatory requirements.

7. Coordinate and support internal AHAM units and external operations teams on matters relating to Investor Registration, as outlined above.

8. Provide support on any other matters ancillary to the responsibilities described herein.

  1. 9. Perform any other duties as may be assigned by Management from time to time.

Transfer Agency

  1. Administer and ensure the daily unit trust operations run smoothly.
  2. Check and ensure clients details information are captured accurately in the system.
  3. Ensure daily sales, redemption, switching, transfer transactions and any other transactions in regards to the unit trust are recorded accurately in the system.
  4. To capture, process and keep safe information pertaining tor clients transactions into an electronic system of data storage.
  5. Check report accuracy and ensure official receipts and confirmation letters/advices are generated and send to clients/IUTAs.
  6. Calculate units required for allocation and prepare creation/cancellation letters to trustees, if required
  7. Liaise with internal IT and external system consultant/vendor to ensure system integrity and enhance system efficiency, if required.
  8. Prepare monthly, yearly SC, EPF reports and submission on time as per dateline set, if required.
  9. Ensure the transaction being captured into system correctly for the commission calculation.
  10. Prepare and submit reports in relation to sales and agents performance to management on weekly, monthly or ah-hoc basis; if required
  11. To assist IUTA, PWB, ITB, ICH & PB departments as well as Sales Support Department in matter relating to operations.
  12. Perform system UAT testing as and when there is any system enhancement, if required.
  13. All other matters ancillary to the above.
  14. To perform any other duties that management may require from time to time.

Job Requirements:

  1. Degree or Diploma in Business, Finance, or other related disciplines.
  2. Strong computer literacy, with the ability to work efficiently using standard office applications.
  3. Ability to perform effectively as a positive and collaborative team member.
  4. Quick learner who is highly observant, detail-oriented, and adaptable to change.
  5. Willingness to work overtime when required to meet tight deadlines.
  6. Fresh graduates are welcome to apply.
