Role Overview
Provide administrative and operational support to the Sales team, including Business Development Managers and Key Account Managers, to ensure efficient customer onboarding, quotation preparation, account management, and sales activities. Act as a key liaison between customers and internal departments to deliver excellent customer service, maintain accurate customer information, and support business growth within the freight forwarding and logistics environment.
Key Responsibilities:
- Provide administrative support to sales manager (including business development manager and key account manager where required) in relation to the preparation of sales collateral material, quotations, sales reports, presentation and customer related applications for assigned customers.
- Create and maintain non-sales representative assigned level customer profiles.
- Maintain customer databases, update customer records, and ensure accurate and up-to-date information.
- Assist sales manager in customer implementation/onboarding.
- Collaborate with internal departments to ensure timely and accurate order fulfillment and resolve any issues or discrepancies.
- Serve as the first point of contact for customer inquiries, providing excellent customer service and addressing their needs promptly.
- Assist in managing customer accounts, including handling customer requests, updating account information, and resolving customer complaints or concerns.
- Coordinate and track sales leads, monitor the progress of sales activities, and provide regular updates to the sales team.
- Assist in the creation and implementation of sales strategies and campaigns, including lead generation and follow-up activities.
- Maintain inventory of sales materials, collateral, and promotional items, and coordinate their distribution as needed.
- Assist in department administrative tasks if and when required.
Job Requirements
- Diploma or Bachelor's Degree in Business Administration, Logistics, Supply Chain Management or a related field.
- Minimum 2 years of experience in Sales Support, Customer Service, Freight Forwarding, Logistics or a related industry.
- Basic knowledge of freight forwarding, transportation, warehousing, or supply chain operations is preferred.
- Experience with using CargoWise One (CW1) and its Quote Module is highly preferred.
- Proficient in Microsoft Office applications, experience with CRM systems or logistics management systems will be an advantage.
- Strong organizational, administrative, and multitasking skills with high attention to detail.
- Customer-oriented with excellent communication, interpersonal and problem-solving skills.
- Ability to work independently and collaborate effectively with cross-functional teams in a fast-paced environment.
- Fluent in written and spoken English. Proficiency in additional languages such as Mandarin, Bahasa Malaysia, or other languages will be an advantage.
