Job Description

Executive / Senior Executive, Administration

We are looking for a responsible, detail-oriented, and proactive Executive / Senior Executive, Administration to support day-to-day facilities, procurement, and administrative operations, while ensuring compliance with internal policies, governance standards, and regulatory requirements.

The key responsibilities will include but are not limited to:

  • Support daily facilities, procurement, and administrative operations across HQ and branches.
  • Assist in managing lease agreements, tenancy matters, and coordination with landlords and building management.
  • Conduct site inspections and follow up on maintenance and service issues.
  • Support procurement activities, including sourcing, vendor coordination, and PR/PO processing in line with policies.
  • Maintain vendor relationships and assist in monitoring service performance.
  • Keep accurate records of contracts, leases, vendors, and office assets.
  • Assist in contract administration, including preparation, renewals, and tracking of expiry dates.
  • Support office projects, renovations, and maintenance works.
  • Assist in budget tracking, reporting, and cost control.
  • Support corporate events, sustainability initiatives, and general office needs.
  • Perform ad-hoc duties and support special projects as assigned.

Key Competencies & Preferred Qualifications:

  • Strong problem-solving, critical thinking, and attention to detail.
  • Excellent interpersonal, negotiation, and communication skills.
  • Diploma or Bachelor's in Business Administration, Procurement, Supply Chain, Finance, or related field.
  • Minimum 2 to 5 years of administrative experience, preferably with exposure to facilities or procurement within General Insurance companies.
  • Familiarity with ERP or procurement systems commonly used in Malaysia (e.g. SAP, or equivalent)
  • Good command of English and Bahasa Malaysia.
  • Team player who can work collaboratively while performing independently when required.

* Open to Malaysian candidates with experience in administrative experience with facilities or procurement exposure within general insurance companies.
