Job Description
Key Duties/Responsibilities
- Process payroll for retail staff (permanent and part-time employees), including all payable components.
- Check and calculate store employees time and attendance data.
- Work closely with HR Operations to obtain all completed documents required for payroll processing from the Retail team.
- Maintain the e-leave system, including all types of leave data, and provide support to Store Managers when required.
- Record and monitor medical benefit utilization for all store employees.
- Submit all necessary government statutory contributions and requirements after payroll processing.
- Complete and maintain all HR filing, including employees personal files, after each payroll cycle. Ensure all records are kept up to date.
- Liaise with relevant government departments regarding new laws or regulatory requirements that may impact payroll in the responsible countries.
- Liaise with payroll vendors or persons-in-charge on any issues related to payroll activities.
- Submit the monthly Staff Due for Confirmation report to HR Operations for monitoring and completion of employee confirmations at store level.
- Attend to HR matters at store level, including employee disciplinary and counselling matters.
- Conduct exit interviews and analyse employee turnover rates at store level.
- Support annual HR processes, including people reviews and performance appraisals, for the responsible countries.
- Follow through on all HR administrative matters.
- Execute HR initiatives and ensure proper follow-through across all retail employees.
- Prepare HR onboarding documentation and coordinate onboarding matters, including offer letters, new hire joining dates, shift working hours, and communication with stores.
- Perform any other ad hoc duties as assigned by the Line Manager.
Job Requirements
- Prior experience managing HR matters across Malaysia, Singapore, and Thailand will be an added advantage.
- Minimum of 3 years of relevant working experience, preferably within the retail industry.
- Energetic and self-motivated, with a high level of initiative and drive.
- Ability to work independently, manage multiple tasks, meet tight deadlines, and prioritize effectively.
- Practical and in-depth knowledge of HR administrative procedures in Malaysia, Singapore, and Thailand.
- Strong knowledge of Industrial Relations, with the ability to analyse situations and resolve issues effectively and creatively.
- Good command of spoken and written English.
