Job Description

Job Summary

To support the organisation's talent acquisition and mobility strategies by managing end-to-end recruitment, maintaining accurate HR data, developing employee job profiles, and assisting in manpower budgeting activities to ensure operational excellence and workforce effectiveness.

Talent Acquisition:

  • Manage the end-to-end recruitment process, including job posting, sourcing, shortlisting, interviewing, and on boarding for Executive level, internship and protg.
  • Collaborate with hiring managers to understand manpower requirements and develop suitable recruitment strategies.
  • Maintain an active talent pipeline and database for current and future staffing needs for Executive level & interns through Linked In and internal shared folder.
  • Ensure timely recruitment aligned with approved manpower plans and budget.
  • Support employer branding and outreach initiatives (e.g., career fairs, career networking with university/colleges, internship programs).

People Mobility & Workforce Planning:

  • Support employee movement event such as internal transfers, restructuring & re-designation, promotions, secondments & resignation in alignment with company policies through letters, system update, workspace and others.
  • Assist in monitoring and updating organization structure charts and manpower movements.
  • Coordinate with relevant stakeholders to ensure smooth employee mobility processes.
  • Maintain accurate and up-to-date employee movement records via HRIS system & physical filling.
  • Manage payment for recruitment expenses; Internship allowance, short notice payments, third party & consultants.

HRIS System & Data Management:

  • Maintain and update the HR Information System (HRIS) with accurate employee data.
  • Generate and analyze HR reports related to headcount, recruitment, and manpower planning which relates to BNM reports (quarterly & yearly).
  • Support HRIS enhancement initiatives to improve data accuracy and process efficiency.

Job Profiling & Documentation:

  • Develop and maintain employee job profiles and job descriptions in coordination with line managers.
  • Ensure job documentation is aligned with organization structure, job grading, and competency frameworks.

Manpower Budget Support:

  • Assist in the preparation and tracking of manpower budgets and recruitment expenses.
  • Provide data support for manpower forecasting and analysis.

Job Requirements:

  • Bachelor's Degree in Human Resources, Psychology, Business Administration, or related field.
  • 24 years of experience in recruitment, HR operations, or HRIS administration.
  • Proficient in MS Excel, HRIS systems (e.g., Workday, or similar), and data management.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Knowledge: Understanding of end-to-end recruitment processes, selection techniques, and onboarding practices. Knowledge of HR Information Systems (HRIS) and data management best practices. Awareness of organisation design, job grading, and competency frameworks. Basic understanding of manpower planning and budgeting processes. General knowledge of HR analytics and reporting tools.
  • Skills: Experienced in talent acquisition and selection, HR data management, stakeholders engagement, and analytical reporting, with strong interpersonal and communication skills, attention to detail, and a commitment to confidentiality and integrity.
