Job Description
Job Purpose
- To manage proper communication with all stakeholders in terms of engagement including but not limited to residents, consultants, contractors and government agencies.
Job Responsibilities
- Responsible in monitoring all Handing Over matters carried out by the team from pre- Handover to the physical Handover date (as per the SOP). This includes the management of the followings:
a. Schedule appointments for key handing over to customers and update Handover Schedule record
b. Liaise with Project Maintenance on the date of Handing Over
c. Prepare Hand Over Kit
d. Carry out personalized Handover of documents and keys to the purchasers in the office
e. Ensure all automation process are in order
- To monitor the facilities and amenities for the Township are in order and maintained
- Responsible for co-ordinating with the respective relevant departments in addressing and resolving concerns highlighted by Purchasers and community in the Township under his/her care. Amongst issues of concern will be related to legal matter, Sales, Maintenance, Project Management and Credit matters.
- Implement and co-ordinate Township activities
- Amongst activities involved are:
a. Implement all policies, activities, procedures, instructions as per Standard Operation Procedure
b. Carry out frequent check on documentation for audit purpose
c. Attend to complaints made by purchasers through e-mail, fax, walk-in, letters and telephone
d. Monitor the recording or updating of defect entries into the data system
e. Monitor rectification of defective works carry out by contractor as per S.O. certification within defect liability period
f. Liaise with Architect, Consultant, Project Team and Purchasers pertaining to non-DLP complaints including distressed units
g. Prepare draft of outgoing correspondence to customer for QCS Manager review
h. Communicate with purchasers on any issues highlighted
i. Create and maintain good rapport with internal and external customers
j. Provide relevant information (e.g. Weekly Report) to QCS Manager
k. Prepare reports of handing over of keys and defect analysis
l. Coordinate for call of tenders on purchase or maintenance of Township and prepare approval papers for QCS Manager to review
m. Monitor the performance of contractors/vendors and works carried out until completion. Verification of work is required for payment approval
n. Liaise with Authorities such as local authorities/TNB/SYABAS/IWK on any issues related to the maintenance of the Township for handed over areas and utility bills issues with purchasers
o. Get involved in Community activities
p. Carry out all other works deemed necessary by superior
Education/Professional Qualification
- Degree in Engineering/Construction Management/Project Management/ Architecture/ Property Management/Facilities Management/Customer Service
